Position : Remote position with occasional travel to office either to Toronto or Peterborough as required.

ROLE OVERVIEW :

As a Project Coordinator at Univerus, you will provide essential support to the Project Management team by coordinating project activities, managing documentation, and assisting with communication among stakeholders. You will play a key role in keeping projects organized and on track, helping ensure the successful delivery of client and internal projects. This entry‑level role is ideal for individuals looking to build their project management skills in a supportive and collaborative environment.

ORGANIZATIONAL RELATIONSHIP :

Reports To : VP, Operations, Energy & Water

Department : Professional Services

KEY RESPONSIBILITIES :
  • Project Support : Assist Project Managers with the coordination of project activities, including scheduling meetings, preparing agendas, and capturing meeting notes.
  • Documentation Management : Maintain project documentation such as project plans, status reports, action items, and risk registers.
  • Communication Coordination : Help facilitate clear communication between team members, stakeholders, and clients by preparing updates, reminders, and follow‑ups.
  • Task Tracking : Monitor project tasks and deadlines, providing reminders and escalating overdue items as needed.
  • Resource Coordination : Assist with resource scheduling and tracking availability to support project needs.
  • Reporting Support : Support the preparation of project status reports, dashboards, and other reporting tools.
  • Process Adherence : Ensure project management processes and documentation standards are followed.
  • Meeting Support : Organize and support project meetings, including logistics, materials preparation, and post‑meeting follow‑up.
  • Administrative Support : Provide general administrative support to the project team as required.
KEY PERFORMANCE INDICATORS (KPIS) :
  • Timeliness and accuracy of project documentation
  • Stakeholder satisfaction with coordination and communication
  • Completion of assigned tasks within agreed timelines
  • Support provided to ensure project deliverables remain on track
  • Adherence to project management processes and documentation standards
  • Positive feedback from project managers and team members
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES :
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks and priorities in a fast‑paced environment
  • Attention to detail with a focus on accuracy and consistency
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools (e.g., Smartsheet, Asana, or similar)

EDUCATION AND EXPERIENCE :
  • Diploma or Bachelor’s degree in Business Administration, Project Management, or a related field preferred
  • Previous experience in an administrative, coordination, or project support role is an asset
  • Interest in pursuing a career in project management
  • Willingness to travel occasionally to support project or client needs
