Job summary

SAIT is seeking a Project Coordinator to support School Leadership, Academic Chairs, Faculty and Staff. The role focuses on process improvement, information management, data collection, and scholarly activity reporting within a fast-paced academic environment.

Ideal candidate has a Bachelor's degree, 3–5 years experience, strong Microsoft 365 skills, and a service-focused, detail-oriented mindset. This is a full-time on-site position based at SAIT's campus in Calgary.

Qualifications

  • Bachelor's degree with emphasis on technical and/or research report writing.
  • 3-5 years of experience in a related position or field.
  • 1-2 years of experience in a post-secondary environment is asset.
  • Knowledge of quantitative and qualitative research methodologies and data-driven decision making.
  • Advanced skills in Microsoft Office Suite with SharePoint expertise.
  • Strong critical thinking, decision-making, and analytical skills.
  • Excellent communication skills, written and verbal, with technical writing ability.

Responsibilities

  • Information Management and Process Improvement: organize, archive, maintain repositories and ensure data governance; improve workflows and documentation practices.
  • Support Curriculum Quality, Reporting, and Documentation: ensure program quality and scholarly activity reporting; assist with data collection and submissions.
  • Tools, Systems, and Administrative Enablement: identify tools and templates; develop templates using Word / Microsoft 365; train staff on tools and processes; support adoption of new tools.

Job classification: P2043 - Project Coordinator

Salary range: $60,000 - $67,000

Placement within the range is typically based upon a review of skills, experience, and internal equity.

Hours per week: 37.5

Paid leave: 4 Weeks Vacation / 14 Flex Days per year

Position End Date: May 31, 2027

The Project Coordinator works collaboratively with School Leadership, Academic Chairs, Faculty, and Staff to support activities in the school with a focus on process improvement, problem solving, and service. The development of innovative and sustainable approaches to information management and sharing, data privacy and use, use of acumen in writing funding and curriculum proposals, and project coordination processes are central to the role.

The position further contributes to SAIT’s scholarly culture and faculty experiences through coordination of annual reporting, data collection, and maintenance related to scholarly activity and program quality. The role requires clear communication, strong organizational abilities, attention to detail, the ability to work both independently and collaboratively, and the capacity to manage multiple priorities in a fast-paced academic environment

How you'll contribute
Information Management and Process Improvement
  • Maintain and facilitate effective information management practices, including organizing, archiving, and maintaining documentation repositories (e.g., SharePoint), and ensuring compliance with established retention schedules and data governance protocols for quality assurance documentation.
  • Identify opportunities to improve efficiency, consistency, and transparency of administrative and academic processes, recommending enhancements to workflows, documentation practices, and information‑sharing approaches.
  • Support the ongoing review, development, and continuous improvement of templates, guides, and process documentation to enhance usability, accessibility, and alignment with school and institutional standards.
Curriculum Quality, Reporting, and Documentation
  • Support the quality, consistency, and currency of school‑owned processes, documentation, tools, and templates related to program quality, scholarly activity reporting, and new program and course development, ensuring school alignment with institutional standards.
  • Coordinate and support school reporting requirements, including monitoring timelines, collecting, validating, and summarizing data, and collaborating with School leadership and the Teaching and Learning Commons on submissions for scholarly reporting, and program quality and development proposals and processes.
  • Under direction of School leadership, write, edit, fact‑check, and proofread complex documents and reports independently and in partnership with others, ensuring clarity, accuracy, and alignment with institutional messaging, quality expectations, and required formats and standards.
  • Support annual and cyclical analysis of reporting data, research activity, and quality indicators in collaboration with School leadership, contributing to insights that inform planning, decision‑making, and continuous improvement initiatives.
Tools, Systems, and Administrative Enablement
  • Identify, evaluate, and recommend appropriate tools, technologies, and sustainable systems to support automation, standardization, and scalability of school processes, aligning with SAIT’s strategic direction and digital priorities.
  • Develop and enhance templates and tools using advanced functionality in Microsoft Word and the broader Microsoft 365 suite (e.g., SharePoint, Teams, Excel), supporting efficient document creation, version control, and collaboration.
  • Provide guidance and support to faculty, staff, and academic leaders on the use of tools, templates, and systems related to reporting, documentation, and program development processes.
  • Contribute to the implementation and adoption of new tools, systems, and process improvements by supporting training, documentation, and change management efforts within the School.
What you bring
  • Bachelor's degree in education, social sciences, humanities, or relevant scientific field emphasizing technical and/or research report writing, or equivalent.
  • 3-5 years of experience in a related position or field.
  • 1-2 years of experience in a post‑secondary environment is considered an asset.
  • Working knowledge of quantitative and qualitative research methodologies, evaluation methodologies and approaches, and data and evidence‑driven decision‑making models.
  • Advanced skills in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams), with demonstrated expertise in SharePoint.
  • Strong critical thinking, decision‑making, and analytical skills.
  • Excellent communication skills, both written and verbal, with a strength in technical writing, report, and template creation.
  • Demonstrated professionalism and a service‑focused attitude.
  • Excellent organizational and time management skills, with strong attention to detail.
  • Proven adaptability and flexibility for a changing environment.
