This role provides essential support to project teams, ensuring seamless operations and consistent delivery of high-quality project documentation and administrative services. The Project Assistant will collaborate with internal teams across multiple locations, manage communications, assist with proposals, reports, and project tracking tools, and contribute to overall project success. The position offers exposure to project management processes, opportunities to develop professional skills, and a chance to contribute to initiatives that positively impact communities. A strong focus on organization, attention to detail, and effective communication are key to thriving in this role. This is a hybrid position based in the Vancouver office, with flexibility to support remote work and cross‑functional collaboration.

Accountabilities
  • Assist project teams with preparation, editing, formatting, and proofing of project documents, including reports, specifications, contracts, and spreadsheets.
  • Support project tracking by updating appropriate software and maintaining client contact information.
  • Attend project meetings, take and distribute minutes, and prepare agendas and documentation.
  • Coordinate travel, accommodations, and meetings for project teams as required.
  • Manage couriers, tender packages, drawings, and other project‑related materials.
  • Provide quality control to ensure adherence to corporate standards and procedures.
  • Assist with project closeout, including finalizing project profiles and inputting data into project management systems.
  • Support marketing and business development activities as needed.
  • Answer inquiries from internal teams, clients, and the public, ensuring professional representation of the organization.
Qualifications
  • Certificate in Business Administration or a similar program preferred.
  • Minimum of 2 years administrative or related experience.
  • Proficiency with Microsoft Word, Excel, and other Office 365 tools; experience with project management software such as Deltek Vision, Panda Doc, or Vantagepoint is an asset.
  • Strong organizational and time management skills, able to handle multiple tasks and deadlines efficiently.
  • Effective communication and interpersonal skills, demonstrating professionalism and a collaborative mindset.
  • Interest in engineering, project management, or related fields.
  • Highly proactive, adaptable, and able to take on new responsibilities as needed.
