Project Administrator – Ottawa
We are currently looking for a Project Administrator to contribute to the success of the Parsons Ottawa consulting business, working on a wide range of projects and proposals. This is a full-time role with benefits, and, depending on the individual circumstances, we may offer a hybrid remote working scenario with a limited ability to work from home.
Responsibilities
- Provide overall administrative support to the Ottawa team and business office
- Assist project managers and other professional staff with the administrative and coordination aspects of consulting project delivery
- Assist with the quality review, formatting and preparation of technical reports, proposals, memos, spreadsheets
- Coordinate project team meetings including scheduling, preparing agendas, and taking meeting minutes
- Support the Ottawa engagement team in planning and coordinating office-wide meetings and events
- Assist professionals with the preparation of ISO 9001 Quality Management System (QMS) documentation, such as project management plans, health & safety plans, project summary reports, in-coming/out-going document tracking, billing support documentation, communication plans, and schedules
- Coordinate submittal of project deliverables to clients and partners through various project document management systems
- Assist project managers to track status of project deliverables and prepare status reports
- Assist project managers and legal counsels in preparing contract reviews
- Assist with the preparation of invoice statements for provision to Parsons’ billing staff
- Assist in the preparation of consulting proposals, including assisting with document preparation and costing spreadsheets, and direct liaison with Parsons’ partners and subconsultants
Qualifications
- Post-secondary education in administration, project coordination or project management, or equivalent work experience
- Minimum 2 years of relevant experience in a planning or engineering or comparable consulting environment is an asset
- Bilingual (English, French) capabilities are considered an asset

- Excellent written and oral communication, organizational, and interpersonal skills, as well as a demonstrated ability to work as a member of a team, are prerequisites.
- Ability to communicate effectively with co-workers, clients, and partners
- Ability to work in a team, good sense of autonomy, proactive approach and self-initiative
- Excellent ability to plan, organize and prioritize tasks
- Proven working experience of Microsoft Word, Excel, PowerPoint, Project, as well as Adobe Acrobat and/or Bluebeam Revu is an asset
- Ease in communication and collaboration with a diversity of professionals (engineers, planners, technicians, sub-consultants, clients, etc.)
- Demonstrate high accuracy, attention to detail, organization, and quality of work.
