ATCO Frontec is seeking a Project Administrator to join our North of 60 Projects division. This is an excellent opportunity for a detail-oriented professional to support full project life cycle activities, focusing on documentation, process coordination, scheduling, and administrative duties.

Position Overview

This is a hybrid position based in Calgary, Alberta. Occasional travel to project locations may be required.

Responsibilities
  • Prepare, organize, and maintain project documentation, including schedules, risk registers, issues logs, and other records.
  • Coordinate project communications, including meeting agendas, minutes, and distribution of project updates.
  • Track and update project files, ensuring accuracy and compliance with company standards.
  • Support change management processes by preparing and distributing required documentation (RFIs, CCNs, COs).
  • Maintain databases of subcontractors and vendors, ensuring records are current and complete.
  • Submit and track shop drawings and other project submittals for review and approval.
  • Organize and maintain accurate, neat, and well-documented project files (digital and physical).
  • Schedule and coordinate meetings with clients, subcontractors, and internal teams.
  • Review and process subcontractor invoices for accuracy and completeness.
  • Ensure all administrative project operations comply with local laws, regulations, and corporate policies.
  • Provide administrative support to the Site/Contract Project Manager, including feedback on documentation and process improvements.
Qualifications
  • 2 or more years of experience in project administration, coordination, or a related administrative role.
  • Experience with document management systems, scheduling software, and office productivity tools (e.g., Oracle, MS Project, MS Office).
  • Must be eligible to obtain a Level II (Secret) Security Clearance.
  • Experience working with federal government contracts and processes is considered an asset.
  • Strong organizational and multitasking abilities.
  • Excellent written and oral communication skills.
  • Ability to handle a high volume of work with accuracy and prioritize effectively.
  • A ‘self-starter’ attitude with the willingness to take initiative will be key in this position.
