Your opportunity

The Program, Data, and Communications Associate reports to the Director, Fitness, Wellness & Recreation and will be the first point of contact for general enquiries at the Hart House Fitness Centre. The incumbent will provide administrative support by coordinating meetings schedules, agendas, materials, action and follow‑up items. The incumbent will be responsible for determining the logistical details and activities of events and/or programming. This role also serves as a resource to others by providing (non‑supervisory) job‑related guidance. The incumbent will regularly be collating and organizing data for various reports as well as collaborating on cost estimates and making minor purchases.

Your responsibilities will include
  • Acting as the first point of contact for general enquiries
  • Coordinating meeting schedules, agendas, materials, action and follow‑up items
  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Determining logistical details and activities for events and/or programming
  • Collating and organizing data for various reports
  • Maintaining information on digital platforms
  • Writing and editing reports to support initiatives
  • Liaising with internal and external contacts to facilitate purchasing and/or procurement processes
Essential Qualifications
  • Advanced College Diploma (3 years) or acceptable combination of equivalent education and experience
  • Minimum three (3) years of related experience in providing administration and event support in post‑secondary fitness & recreation environment
  • Demonstrated experience in end‑to‑end event coordination
  • Experience with updating website content
  • Demonstrated ability in collecting, organizing, and formatting data for reports and presentations
  • Proficiency with project management software, Asana
  • Demonstrated commitment to equity, diversity and inclusion in all work responsibilities and in collaborative workplace practices
  • Strong attention to detail and accuracy in all work
  • Excellent written and verbal communication skills; ability to relate well with students, internal partners and clients
