Job description

The Program Coordinator works as a part of the LLC staff team by overseeing office and program administration, recruitment and communications, and various rentals and events. They also support the rest of the LLC staff team with administrative tasks. This includes student-facing, alumni-facing, and public-facing networking and communication.

Key Areas of Accountability
Program Coordination
Office And Program Administration
  • Update and organize course materials, webpage, and program supplies as needed in the day-to-day and yearly operations of the LLC.
  • Liaise with various departments at Trinity Western University about LLC needs and programs.
  • Establish and maintain orderly systems of data and filing collections, both physically and electronically.
  • Manage LLC budget expenditures and liaise with finance department and relevant software programs.
  • Supervise student employee contracts related to LLC roles.
Program Applications
  • Handle inquiries about the LLC program.
  • Lead the application process, ensuring the application portal is updated and managing applications on Salesforce.
Recruitment, Communications, and Outreach
  • Manage LLC social media sites.
  • Draft and publish the LLC Alumni newsletter.
  • Assist in designing promotional materials with the LLC staff and TWU Marketing Department.
  • Coordinate recruitment efforts with campus departments.
  • Supervise the LLC Student Recruiter in promoting the LLC.
Rentals, Conferences, and Events
  • Administer conference and facility bookings, including inquiries, scheduling, setup, supervision, and invoicing.
  • Manage accommodation rentals and coordinate related processes.
  • Oversee parking lot rentals and manage waitlists and payments.
  • Contribute to planning LLC events like alumni gatherings and student activities.
Supports To Other Staff
  • Provide receptionist support and assist other staff as needed.
  • Support the Community Life Coordinator and assist in budget forecasting and health policy implementation.

  • Proficient in office software and administrative skills.
  • Strong interpersonal and communication skills.
  • Organizational skills and a friendly demeanor.
  • Valid driver’s license.
  • Ability to work under pressure and in both official languages is an asset.

Standards & Requirements

Education: B.A. preferred. Knowledge of TWU structure is a plus.

Experience: 1-2 years related experience preferred, with well-developed administrative skills.
