The Marketing & Communications team at UTSC is a highly collaborative group of Marketing Communications professionals. We are seeking a highly motivated and detail-oriented Production Coordinator who possesses strong administrative and diplomatic skills and has demonstrated success in project management, executive support and improving administrative processes. Reporting to the Executive Director, Marketing & Communications, this role provides direct administrative and calendar support while coordinating schedules and production calendars of the creative team, ensuring collaboration with internal and external stakeholders to support and promote the office’s strategic objectives.

The ideal candidate will be accountable, courteous, efficient and proactive, ensuring tasks are completed in a professional and effective manner. They will be passionate about organization, coordination, and administration. They will be a collaborative team player contributing to the department through building positive relationships and acting with curiosity.

Responsibilities
  • Liaising with creative professionals and vendors to coordinate production activities
  • Executing assigned tasks according to production schedules and project plans
  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Coordinating and determining logistical details for schedules, agendas, materials, action and follow-up items for meetings, activities, production events and/or programming
  • Implementing plans and process improvements for administrative workflow
  • Fostering cooperative working relationships with a wide variety of internal and external contacts
  • Updating and maintaining database records
  • Keeping well-informed on leadership commitments and priorities
Essential Qualifications
  • Advanced College Diploma (3 years) in a relevant area of study or acceptable combination of equivalent education and experience.
  • Minimum of five years of recent and related experience providing coordination of communication and marketing projects and direct administrative support to senior executives/administrators.
  • Experience scheduling and coordinating meetings and complex schedules.
  • Demonstrated commitment to administrative organization and coordination.
  • Demonstrated excellent time management skills with ability to prioritize and meet strict deadlines while keeping others on track and committed to timelines.
  • Proficiency in Word, Excel, PowerPoint and database applications.
  • Excellent interpersonal and customer service skills.
  • Excellent written and verbal communication skills.
  • Tact, diplomacy, good judgment and strong attention to detail.
  • Ability to work effectively both independently and in a team environment.
  • Ability to maintain strict confidentiality.
