Job summary

Magic Circle Workshop, a full-scale production studio with national reach, seeks a Production and Admin Coordinator to support day-to-day studio operations and report to the Director of Studio Production.

You’ll join a collaborative team across video, post-production, studio, print, XM, digital and social, balancing deadlines with a supportive, growth-focused culture. Hybrid in-office role with growth opportunities.

Responsibilities

• Be an integral part of the production team, supporting with day-to-day tasks in a fast paced environment across multiple projects.
• Support the production and finance teams with essential business administration.
• Support production team with financial tasks such as creating estimates, processing invoices, and reconciling projects.
• Manage stock image and footage licensing, copyright, music rights, asset organization and user access.
• Provide support with coordination of freelance and internal resources and vendor management.

As a Production and Admin Coordinator you will assist in the day to day procedures and business administration of the production department and report directly to the Director of Studio Production.
You’ll be joining a team of producers and practitioners across video, post-production, studio, print, XM, digital and social. Our team comes from various backgrounds and levels of experience, and we operate as a collaborative collective where team members are always supporting, teaching and mentoring one another.
We hold ourselves to a high bar of excellence, with a genuine desire to produce incredible creative and a high level of craft and polish in everything we touch. We work hard but we also believe that a production environment should be genuinely fun. Note this is a hybrid role in office.
We take mentorship and career growth seriously. While the nature of production can require overtime or weekend work to meet specific client needs, we are mindful of work-life balance and strive to ensure every team member feels supported and set up for success.

Transparency matters to us. For this role, you can expect a salary between $50,000-65,000 annually, depending on experience. This is for an existing vacancy.

• A high level of organization and a knack for catching the small details others might miss.
• Capable of meeting deadlines and working with daily time constraints.
• A proactive approach, seeing what needs to be done and jumping in to help without being asked.
• Ability to complete multiple tasks across multiple productions in a fast-moving environment.
• A combination of experience and relevant training. We welcome candidates with unique backgrounds.
• Bilingualism is a plus.
• Comfort with Google Suite, Click-up or other project management tool, and some experience with Adobe Suite & Maconomy a plus.
• Experience in a production environment, either at a creative agency, production company or related field is a plus.
