About the position
Reporting to the CEO, MD and Nurse Manager working with assigned physicians, the Practice Nurse/IVF Coordinator is responsible for the MD clinical practice and delegated medical acts. The role requires close collaboration with attending physicians and excellent communication with clinic staff and patients. Practice Nurse/IVF Coordinator will participate in establishing and maintaining standards of practice, policies, and procedures at Anova Fertility and Reproductive health. In addition to being responsible for Anova’s nursing services, the Practice Nurse/ IVF Coordinator will also perform procedures on a regular basis and be directly involved in training new and junior employees. Crucially, the incumbent shares the Founder, Dr. Marjorie Dixon’s commitment to being the gold standard for successful reproductive health and fertility centres.

Main Duties & Responsibilities
General
- Collaborates effectively with team members across departments
- Consistently arrives to work, appointments, meetings, and events on time
- Writes clearly and informatively and edits work for spelling and grammar
- Handles expected share of workload at required quality level (productivity)
- Maintains confidentiality and security of business and patient information
- Complies with policies and protocols, as amended from time to time
- Completes all required training to perform job duties effectively
Key Responsibilities
- Collaborate with team of physicians, nurses, and laboratory and administrative staff on daily basis
- Educate and counsel patients on their fertility journey, including treatment plans, medications, consents, and payment schedules
- Email monitoring and response from: personal work email and group practice email.
- Medical summaries for associate doctor for patients when necessary
- Nurse talks (IUI, Egg Freezing, IVF)
- OB phone calls
- OB referrals
- PGTA follow up questions.
- FET talks
- Legal summaries when needed
- Complaint management when necessary
- TIC talks
- Sperm bundle follow ups + DNA fragmentation follow up questions.
- Egg thaw and ICSI and coordination with embryology for scheduling thaw
- PGTM coordination
- Donor sperm coordination – anonymous/ CGT requisition and follow up after testing completed
- CD138 bx follow ups
- NIPT call backs
- Reviewing and flagging abnormal test results and review with MRP or DOTD
- Medical forms for modified duties/ work off
- Doctors notes for specified approvals
- Insurance forms for medicine coverage for ovarian stimulation mediations
- Aiding cycle monitoring nurses
- Coordinate, prepare, and educate patients on diagnostic and treatment cycles
- Provide quality care to patients as per Anova protocols and procedures
- Add information to patient care plan and implement physician instructions
- Book IVF procedures for patients based on cycle‑timing and protocols
- Support patients through emotional and medical implications of fertility treatment
- Monitor patients’ recovery after egg retrievals
- Meet with patients during monitoring to discuss results and dispense medication, monitor stock levels
- Check CM stims, including stimulation sheets and requisitions as required
- Meet with REI to review results and carry out instructions for next steps
- Book IUIs and semen sample collection appointments for CM patients
- Contact patients to advise them of results and physician instructions
- Book OPUs for IVF patients when required
- Organize patient appointments
- Participate in cycle monitoring and perform intrauterine inseminations
- Maintain, clean, and sterilize instruments, exam rooms and equipment
- Comply with safety protocols and use equipment in prescribed manner
- Collect and store specimens according to SOP
- Supports Clinic by providing quality service to patients in friendly and calm manner
- Provides best‑in‑class patient centric care to all patients
- Provides information to patient care plan and implements physician instructions
- Coordinates care for assigned patients following Anova protocols and procedures
- Relays procedure dates, times, and instructions to patients
- Reviews and explains IVF process to patients and their families
- Communicates test results and medication instructions to patients
- Dispenses medication and keep accurate daily log
- Identifies patient care issues and strives to address these satisfactorily and timely
- Ensures that records are current, complete, legible, and traceable
Qualifications and Requirements
- College diploma or BScN
- Current certificate of registration with CNO in good standing
- Member in good standing of RNO
- At least five (5) years of experience in assisted reproductive technologies or gynecology.
- Current BLS/ACLS, CPR, First Aid certification
- Solid knowledge of accreditation/inspection processes
- Comfortable with MS Office and virtual meeting technology (Teams)
- Strong critical thinking, problem‑solving, and decision‑making skills
- Ability to discuss difficult and complex topics with patients and verify that information has been understood
- Ability to manage conflicting demands (e.g., unexpected procedure time changes, equipment availability)
- Availability and willingness to work outside of regular business hours
