Job Summary

The Department of Psychiatry is a large, complex clinical and academic department that provides patient care, delivers education and conducts research in the area of psychiatric illness and treatment. The department is an administrative unit of three separate institutions: Dalhousie University, Faculty of Medicine, the Central Zone of Nova Scotia Health and IWK Health. Reporting to the Operations Manager, Psychiatry, the Postgraduate Coordinator will be responsible for providing administration support to and coordinating the Department of Psychiatry’s postgraduate residency program.

Key Responsibilities

  • Act as primary contact and resource for various internal and external stakeholders (e.g. postgraduate residents, faculty, staff, committees, College of Physicians and Surgeons of Nova Scotia, and Royal College of Physicians and Surgeons of Canada) regarding postgraduate information and educational matters.
  • Provide administrative support to the postgraduate director and associate director as required.
  • Clerically coordinate postgraduate activities, including scheduling and coordination for orientation, lectures, presentations, exams and placements.
  • Coordinate evaluation process as well resident rotation assignments, call schedules, and leaves.
  • Maintain highly confidential files and records for current residents, faculty, community supervisors and all hospital rotations as well as completing scheduling, data entry and updates in Brightspace and One45 systems.

Note

The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications

  • Business/Administrative Professionals program with approximately five years’ related experience (or an equivalent combination of training and experience).
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook and Publisher).
  • Excellent interpersonal, communication (written and verbal) and organizational skills.
  • Ability to work in a fast-paced environment with multiple overlapping deadlines while maintaining strong attention to detail.

Assets

  • Experience in videoconferencing, database systems and online learning software such as One45, Brightspace and/or SharePoint.
