Job summary

Stantec Consulting International Ltd. is seeking a PMIS Coordinator in Toronto, ON to support PMIS administration, maintenance, and day-to-day operations on major infrastructure programs.

You will work with project teams, document control staff, project controls professionals, clients, and vendors to ensure data integrity and governance. Qualifications

  • 1–2 years of PMIS experience with Kahua, e-Builder, Procore, Unifier or similar systems.
  • Knowledge of PMIS workflows, document management, records administration and approval processes.
  • Proficiency in Microsoft Office and understanding of business applications and information systems.
  • Strong attention to detail and ability to identify document control issues.
  • Strong organizational, communication and customer service skills.
  • Demonstrated ability to learn new systems and follow established processes.
  • Interest in project management, project controls and digital delivery.

Responsibilities

  • Monitor PMIS workflows and ensure records progress through review/approval processes.
  • Support document control and PMIS workflows across project delivery stages.
  • Coordinate RFIs, submittals, transmittals, project correspondence and approvals.
  • Perform QA and data validation to ensure records and documents are accurate.
  • Keep project documents organized, stored, and retained per procedures.
  • Monitor PMIS standards, document control procedures and governance.
  • Provide PMIS user support and help resolve workflow/data quality issues.
  • Coordinate with PMIS providers to investigate system issues.
  • Develop training materials and support end-user training.
  • Communicate system updates and guidance to users.
  • Assist PMIS rollouts, process improvements and continuous improvement.
  • Support PMIS testing, upgrades, integrations and deployments.
  • Maintain accurate project records throughout the lifecycle.
  • Collaborate with PM, Program Controls, Project Controls and Document Control teams.
