About the role
Chief is seeking a talented full-time Personal Assistant to join our dynamic team in the North Region. In this role, you will provide high-level administrative and organisational support to the senior executives, playing a crucial part in ensuring the smooth running of the office. The ideal candidate will be based in the Woodlands Regional Centre North Region.
What you'll be doing
- To be on 24/7 standby for the Senior Management team
- Providing full spectrum secretarial and admin support to the Senior Management
- Manage and optimise the Senior Management’s calendar, including scheduling meetings, appointments, and travel itineraries
- Provide administrative support, including collating reports from various channels and/or departments, prepare presentations and minutes of meetings
- Act as the first point of contact for Senior Management with other company heads, local/overseas business units, and all external parties
- Travel with the Senior Management team for short overseas assignment/projects
- Assist the Senior Management in managing and tracking key projects and deliverables
- Planning and ordering for inventory updates
- Lead and coordinate special projects as assigned by the Senior Management
- Perform research and provide analysis on topics as directed by the Senior Management
- Monitor project timelines and deliverables, ensuring alignment with company goals
- Running of errands for Senior Management, including management of Director’s and Company’s vehicles
- Attend to personal matters for Senior Management
- Assist with special projects and other tasks as required
What we're looking for
- Possess a valid driving licence
- Minimum Diploma or equivalent, in any field of specialisation
- Minimum 2 years' experience as a Personal Assistant or Executive Assistant
- Strong organisational and time management skills with the ability to prioritise effectively
- Excellent written and verbal communication skills
- Good judgement, professionalism, diplomacy and discretion, sense of urgency and initiative
- Proven ability to work independently and as part of a team
- Attention to detail and a commitment to providing high-quality work
- Flexible and adaptable to changing priorities
