Job description

The Opportunity

We’re on a growth trajectory, adding a People and Culture Specialist to the team to act as the operational engine of our People function and the day-to-day heartbeat of our office. Reporting to the Director of People & Culture, you will drive the administration, coordination, and employee experience work that keeps our team running – from recruiting kick-off through onboarding, employee records, internal communications, engagement events, and the everyday office and hospitality details that make our space a place our team enjoy.

This is a high impact, hands-on role for a detail-oriented, service minded HR professional who genuinely enjoys both the people side and the practical side of running an organization. You will be the first point of contact for employees on routine People matters, the steward of our employee records, and the planner behind our culture moments.

About the Role
Recruiting Coordination
  • Post approved roles, manage the Rippling ATS, and keep every active pipeline current
  • Screen resumes and run first round screening interviews using structure guides from hiring managers and the Director
  • Schedule interviews across stakeholders and keep candidates informed with timely, respectful communication at every stage
  • Coordinate reference checks and pre-employment requirements as needed
Onboarding
  • Own onboarding end-to-end for salaried and hourly hires, from offer acceptance through the 90-day check-in
  • Coordinate Day One logistics, new-hire orientation, and mandatory training (WHMIS, AODA, Workplace Violence and Harassment, GMP/food safety)
  • Run 30-, 60-, 90-day check ins and share themes and improvement ideas with the Director
People Admin & Records
  • Maintain accurate, confidential employee records in Rippling, along with the org chart and employee director
  • Support performance review cycles and offboarding, triaging sensitive matters to the Director
Communications & Team Support
  • Serve as the first point of contact for routine People questions, triaging sensitive matters to the Director
  • Produce the monthly newsletter and People & Culture announcements in our brand voice
  • Keep the handbooks, policy library and team resources current
Culture & Engagement
  • Relaunch and chair the Culture Committee, building an annual calendar of events and recognition moments
  • Plan and run company events within budget, from town halls to the holiday party
  • Track participation and feedback to shape future programming
Office & Operations
  • Keep the office, pantry, and supplies running smoothly, and track office budgets monthly
  • Maintain People & Culture SOPs and support ad-hoc projects as the team grows
Who you Are
  • 2-4 years of progressive HR, Talent Acquisition, or People & Culture experience – including hands-on recruiting coordination, onboarding, and HR admin
  • Experience working with a variety of employee types and/or within CPG considered a strong asset
  • Demonstrated ability to manage high-volume coordination across multiple concurrent priorities with accuracy and follow-through
  • Working knowledge of the Ontario Employment Standards Act, 2000 (ESA), AODA, Workplace Violence & Harassment, and Occupational Health & Safety Act fundamentals
  • Strong written communication skills – comfortable drafting newsletters, announcements, and employee-facing content
  • Excellent organizational skills, attention to detail, and proven discretion handling confidential employee and compensation data
  • Proficiency with MS Office (Outlook, Excel, Word, PowerPoint)
  • Experience with HRIS and ATS tools; working knowledge of Rippling considered a strong asset
  • Experience with written internal-communications, newsletters, or employee-facing content whether via email or Slack
  • Event planning experience – internal company events, social committees, or recognition programs
  • Office management; managing and tracking inventory, ordering supplies, liaising with IT, maintaining tidy resource storage
