Job summary

The Opportunity

We're looking for a detail-oriented Payroll & HR Specialist to own the full payroll cycle for our operations while also supporting core HR functions across the employee lifecycle. This is a hands-on, generalist-leaning role for someone who takes pride in accuracy, understands the ins and outs of Canadian payroll compliance, and enjoys being the go-to person employees trust. Whether the question is about their pay, their benefits, or their first week on the job. You'll split your time across our Bolton and Mississauga offices, working closely with Finance and HR to keep payroll running smoothly and to give employees a well-supported experience from hire to departure.

What You'll Do

Payroll

  • Process full-cycle payroll for salaried and hourly employees on a timely and accurate basis
  • Manage new hires, terminations, status changes, and off-cycle payments.
  • Calculate and verify wages, overtime, statutory holiday pay, vacation pay, bonuses, and commissions.
  • Administer and reconcile statutory and voluntary deductions (CPP, EI, income tax, benefits, etc.).
  • Prepare and submit CRA source deduction remittances, Employer Health Tax (EHT), and WSIB reporting.
  • Issue Records of Employment (ROEs) accurately and on time.
  • Manage year-end payroll activities, including T4 preparation, reconciliation, and filing.
  • Maintain accurate employee payroll records and ensure data integrity within the payroll system.
  • Respond to employee payroll inquiries with professionalism and discretion.
  • Support internal and external audits by providing payroll documentation and reconciliations.
  • Stay current with federal and Ontario provincial payroll legislation and ensure ongoing compliance.
  • Assist Finance with payroll-related journal entries, reconciliations, and reporting as needed.

Recruitment & Hiring Support

  • Post open roles, screen resumes, and coordinate interview scheduling with hiring managers.
  • Conduct initial phone screens and support hiring managers through the interview and selection process.
  • Prepare offer letters and coordinate pre-employment steps (references, background checks, etc.).
  • Maintain the applicant tracking system and keep candidates informed throughout the process.

Onboarding & Offboarding

  • Coordinate new hire onboarding, including paperwork, system access, equipment setup, and orientation scheduling.
  • Manage offboarding logistics for terminations and resignations, including exit interviews, final pay coordination, and access deactivation.
  • Maintain accurate, complete employee files in compliance with employment record-keeping requirements.

Benefits Administration

  • Administer group health, dental, and other benefit plans, including enrollments, changes, and terminations.
  • Serve as the primary point of contact for employee benefits questions and liaise with benefits providers/brokers to resolve issues.
  • Reconcile monthly benefits invoices and ensure billing aligns with active enrollments.
  • Support annual benefits renewals and open enrollment communications.

General HR Support

  • Support the maintenance and communication of HR policies and the employee handbook.
  • Assist with employee relations matters, escalating sensitive issues to the HR Director as appropriate.
  • Help track probationary periods, performance review timelines, and other HR compliance deadlines.
  • Support HR reporting and provide data for headcount, turnover, and other people metrics as requested.
What You Bring
  • 3-5+ years of hands-on, full-cycle payroll experience, ideally in a multi-site or mid-sized organization.
  • Prior exposure to HR generalist functions such as recruitment, onboarding/offboarding, or benefits administration.
  • Strong knowledge of Canadian payroll legislation, CRA requirements, and Ontario employment standards.
  • Working knowledge of Ontario employment law as it relates to hiring, termination, and employee records.
  • Proficiency with payroll and/or HRIS software, and comfort working in Excel (formulas, reconciliations, reporting).
  • Exceptional attention to detail and a high standard for accuracy.
  • Strong organizational skills and the ability to manage deadlines, especially during high-volume periods.
  • Discretion and integrity in handling confidential and sensitive information.
  • Strong interpersonal skills and comfort being a visible, trusted point of contact for employees.
  • A valid driver's license and reliable transportation to travel between our Bolton and Mississauga offices.
Nice to Have
  • Payroll Compliance Professional (PCP) designation from the National Payroll Institute.
  • Experience with year-end processing and multi-provincial payroll.
  • ADP Workforce Now experience for payroll and HR functions preferred.
Work Arrangement

This is a hybrid role requiring 2–3 days per week on-site, with additional in-office days expected during busy periods such as payroll cut-offs, month-end, year-end, and peak hiring/onboarding periods. The position covers two locations — Bolton and Mississauga, ON — so flexibility to work from either office as needed is essential.
