Job description
Overview

Payroll Administrator at Traine Construction & Development and Mainline Living Property Management. You will help ensure accurate and timely payroll for the team, support the broader accounting function with various tasks and special projects, and contribute to payroll software implementation, reporting, and process improvements. This is an in-office position based out of our Head Office in Kelowna, BC.

Responsibilities
  • Review bi-weekly payroll runs in ADP/UKG for all salaried and hourly employees and handle ad hoc payments
  • Conduct monthly payroll analysis reported for manager review
  • Review digital timecards for completeness and accuracy; ensure hours are categorized and allocated correctly
  • Verify payroll profiles for new employees and ensure wage changes and vacation policies are applied accurately
  • Aid in the implementation of UKG payroll software, supporting testing, configuration, and process alignment
  • Provide training and guidance to employees on the use of new payroll software and related processes
  • Run bi-weekly GL journal entry report for upload
  • Review, update, and administer payments to benefit providers and other payroll-related invoices
  • Process/enter AP invoices verifying approvals and payment processing for assigned companies
  • Prepare month-end functions accurately and on a timely basis
  • Prepare annual investment statements for employees
  • Create required internal management reports from the payroll system
  • Handle annual distribution of T4s
  • Reconcile payroll totals and ensure all EHT deductions and workers' compensation are made as scheduled
  • Ensure ongoing compliance with government regulations and other legal requirements in the provinces we operate in
  • Stay current with payroll regulations, labour codes, standards, and work methods in the provinces we operate in
Qualifications and Experience
  • Completion of Canadian Payroll Management Certificate Program, or a diploma/certification in Payroll from a recognized college or technical school (preferred)
  • 3–5 years of full-cycle payroll experience in BC or Ontario
  • Experience with UKG Ready or ADP Workforce Now (preferred)
  • Knowledge of payroll processing procedures and payroll tax laws
  • Advanced computer literacy, including MS Word, Excel, accounting software and email
  • Full cycle accounting experience
  • Knowledge of IFRS and generally accepted accounting practices
  • Strong aptitude for learning new technology and adapting to unfamiliar software
  • Ability to maintain a high level of confidentiality
  • Good time management skills with a strong sense of urgency
  • Excellent attention to detail
  • Ability to organize and document procedures in a logical, methodical manner
