ABOUT THE ROLE

Westend Motors is seeking a Parts & Service Coordinator to supervise and coordinate day-to-day parts and service workflows in our dealership, ensuring timely parts availability, efficient scheduling, and excellent internal customer service to technicians and advisors.

KEY DUTIES
  • Supervise and coordinate parts counter/stock staff and service parts flow; assign, monitor, and review daily tasks and priorities.
  • Manage inventory control: forecasting, ordering, receiving, reconciliation, cycle counts, variance investigation, and core returns.
  • Coordinate parts logistics with service advisors and technicians to meet repair timelines; expedite urgent orders and backorders.
  • Track KPIs (fill rate, turns, aging, shrink, backorder rate); prepare reports and recommend process improvements.
  • Maintain vendor relationships: pricing, credits, delivery performance, warranty parts processes.
  • Train and mentor junior staff on dealership management systems (DMS), parts handling, safety, and procedures.
  • Ensure compliance with dealership policies, health & safety, and manufacturer/brand standards.
REQUIREMENTS
  • Secondary school required; post‑secondary training in Supply Chain/Inventory/Business an asset.
  • 2+ years experience in parts, service, or supply‑chain coordination (automotive preferred).
  • 1+ year in a lead/supervisory or coordination capacity (assigning/reviewing work, training, or team lead).
  • Proficiency with DMS (e.g., CDK/Dealertrack) and MS Excel; strong data accuracy and reporting skills.
  • Solid knowledge of automotive parts catalogues, ordering, and returns processes.
  • Strong communication, vendor liaison, and problem‑solving skills; ability to thrive in a fast‑paced service environment.
