Order Administrator (Expediting)

AtkinsRéalis is one of Canada's largest private sector nuclear engineering groups, proudly stewarding Canadian CANDU nuclear technology for over 60 years.

Reporting to the Procurement Manager, the Order Administrator manages all aspects of high dollar project purchase contracts, ensuring delivery dates, budgetary compliance, and technical & QA requirements are met while acting as the primary administrator between all parties.

Responsibilities
  • Administer complex procurement packages for the Nuclear Island.
  • Conduct supplier kick-off and contract review meetings.
  • Process design changes and issue change orders.
  • Coordinate and interface with key stakeholders: Engineering, Project Manager, Project Controls, Finance, Procurement QA, Document Control, and Logistics.
  • Review and approve invoices and milestone payments.
  • Provide monthly project forecasts against purchase orders.
  • Provide monthly accruals to Project Controls.
  • Mentor expeditors on smaller projects without a dedicated procurement lead.
  • Conduct PO close-out activity and vendor performance management.
  • Participate in key supplier negotiations.
  • Coordinate with logistics to move materials to site.
  • Handle materials management claims (overage, shortage, damage).
  • Handle returns and rework as applicable.
  • Handle warranty claims with suppliers on behalf of the project.
  • Interface with the client or regulatory bodies during the manufacturing process as applicable.

Ideal Candidate
  • Post-secondary degree.
  • SCMP designation an asset.
  • Minimum 10 years’ experience expediting complex procurement packages, preferably in Oil & Gas, Aerospace, or Defence.
  • Knowledge of long lead, complex manufacturing with experience at supplier facilities.
  • Knowledge of complex PO structure, material demand, contractual engineering deliverables, and contract terms and conditions.
  • Experience in supplier negotiations.
  • Experience in quality program standards and processes related to the supply chain.
  • Experience in vendor performance management.
  • Knowledge of the financial system, invoicing/milestone payments over long-term contracts.
  • Ability to mentor junior purchasing staff.
  • Decision-making authority for contract or manufacturing issues throughout execution.
  • Mandatory travel to supplier and project sites.
