Fraser Health Authority in Burnaby is seeking a dedicated Operating Unit Clerk to support the Burnaby Hospital OR area. You will perform clerical and reception tasks, manage charts and surgery information, and coordinate scheduling and patient-related services.

The role emphasizes accuracy, communication, and teamwork to support a high-volume surgical unit within a major health campus redevelopment project.

Qualifications

  • Grade 12 and a Nursing Unit Clerk program graduate.
  • Recent related experience of about one year preferred.
  • Equivalent combination of education, training and experience.

Responsibilities

  • Answer the telephone and relay messages; handle routine inquiries.
  • Book emergency cases, complete paperwork and notify departments and staff.
  • Retrieve charts, attach documents, forwards charts for review by staff.
  • Enter surgery information into the information system and manage unit slate.
  • Coordinate patient transportation and scheduling for diagnostic procedures.
  • Maintain records, statistics and requisition supplies as directed.
  • Orient new staff; perform typing, filing and photocopying tasks.
  • Perform other related duties as required.

The Burnaby Hospital redevelopment project is a multi-phase project that will transform the hospital into a modernized medical and surgical health care campus. Phase one is slated to open in spring 2025 and phase two in 2030.

Highlights of the two-phase redevelopment project include:

  • New health care pavilion with 83 beds to support maternity, neonatal intensive care, medicine and mental health patients
  • New operating rooms, procedure rooms and recovery spaces

Detailed Overview

Under the direction of the Manager, Clinical Services or designate, performs a variety of clerical, reception, and statistical support functions for the Operating Room area.

Responsibilities
  1. Performs reception duties such as answering the telephone, receiving/relaying messages, taking messages, answering routine inquiries or referring calls as appropriate.
  2. Books emergency cases, completes related paperwork and notifies appropriate department, physicians, anaesthetists and staff, as directed.
  3. Retrieves required charts from the units, attaches documents such as medication orders and laboratory reports, forwards charts for review by anaesthetist and returns charts to appropriate units,in accordance with established procedures.
  4. Enters information on individual surgery into the information system. Distributes copies of the slates on the unit as established. Provides information on surgery, medical and nursing staff location, as required.
  5. Participates in the efficient running of the unit by providing information such as patient or surgery location and/or coordinating patient related services such as scheduling for diagnostic procedures, patient transportation, blood bank. Notifies appropriate areas of adjustments to the O.R. slate.
  6. Performs various related clerical duties such as retrieving daily, monthly and quarterly slates, maintaining/updating manual and computerized records, and compiling statistics.
  7. Monitors and maintains unit stationery and supply levels, prepares documentation, and requisitions stationery supplies from stores and for STAT supplies from areas such as Pharmacy; completes equipment repair or maintenance orders as directed.
  8. Orients new staff and students to unit by demonstrating procedures, answering questions, and explaining unit organization and layout.
  9. Performs clerical duties such as typing, filing and photocopying.
  10. Performs other related duties as required.
Qualifications
Education and Experience

Grade 12, medical terminology graduation from a recognized Nursing Unit Clerk program, plus one years recent related experience or an equivalent combination of education, training and experience.
