Responsible for organization work flow orientation operations and scheduling of clerical staff (registration and bookings / corporate bookings and transcription) for the oncology clinics at BCH and EGH. Coordinates referrals and bookings between Osler and Headwaters to ensure optimization of Headwaters Level 4 center systemic therapy as per guidelines developed by the teams.
Accountabilities
- Staffing and Scheduling and direct supervision for clerical and health care aid staff
- Participating in hiring training coaching and mentoring staff. Providing feedback of staff in conjunction with the manager to improve performance
- Ensures patients are being registered and seen in timely manner as per CCO guidelines and within clinic guidelines.
- Update operational changes within the department require immediate changes to a policy or procedure
- Ensure all Clerical policies and procedures align properly with any applicable corporation policies and procedures
- Trouble shooting issues for clerical staff
- Develop and maintain processes that enhance effective work flow for treatment chair time and for the clinic overall while maintaining high standards of care for patients
- Improving clinic efficiency in booking virtual and in-person visits
- Develop workflow processes that improves the patients experience and minimize wait time
- Develop and maintain booking guides for the various treatment regimens
- Develops process to coordinate referrals across the clinic sites including EGH and Headwaters
- Participate in program projects and quality meetings
- Provide information standards to assist other disciplines in the management of projects that are external but affected by oncology clinics including end to end testing of new system or software patches. Verify process and outcomes for the information from oncology and other areas including finance
- Develop and foster quality standards and quality improvements and monitor process and quality of clerical and healthcare aid activities to foster and encourage staff to exceed standards.
- Provides onsite support and assistance to Oncology clinic charge nurse nurses blood collection nurses healthcare aids volunteers pharmacy staff Managers Clinical Director and Oncologists
- Ensure that all records completed during a system downtime are recovered properly and entered into order entry when applicable. Ensure integrity of all patient records during this time
- Ensure smooth transitions for patient bookings between DAPs clinic and oncology clinic.

- Works in collaboration with Medical Director Clinical Director and Manager to provide timely review of referrals and communication to patients
Qualifications
- Medical Office Assistant Certificate Undergraduate degree in Medical Administration or Community College General Diploma
- Supervisory Certificate from Organizational Development
- Five years minimum experience in ambulatory or hospital role
- Must demonstrate strong leadership and organization skills
- Working knowledge of Crystal reports
- Having excellent working knowledge of modules that pertain to oncology clinic is an asset.
- Having working knowledge of Patient Transportation System Patient Scheduling Software and Oncology Information System software is an asset
- Having working knowledge of the HIS modules in Meditech is an asset
Additional Information
Hours: Current days including weekends and statutory holidays (subject to change in accordance with operational requirements).
Salary:
Minimum: $40.78 per hour
Maximum: $50.97 per hour
