Title: Office Manager & Executive Support Lead

Overview

We’re looking for an Office Manager & Executive Support Lead who will be the heartbeat of our office. This role brings together executive-level administrative support, office operations leadership, and front-of-house oversight. You’ll be the connector, the person who keeps leaders focused, the office running smoothly, and the first impression; consistently professional and welcoming. This is a role for someone who enjoys variety, values discretion, and takes true ownership of their work.

What You’ll Do
Office Management & Operations

You’ll own the day-to-day rhythm of the office and ensure everything runs seamlessly by:

  • Managing daily office operations, systems, and processes
  • Overseeing vendors, suppliers, building management, and service providers
  • Managing office budgets, supplies, invoices, and approvals
  • Creating, improving, and documenting office procedures and workflows
  • Coordinating internal meetings, events, and special initiatives
  • Serving as the go-to person for office-related questions and problem solving
Reception & Front-of-House Leadership

You’ll ensure our first impression is always a great one by:

  • Managing and supporting the receptionist/front desk function
  • Setting and maintaining service standards for a warm, professional, and welcoming environment
  • Overseeing reception scheduling, coverage, and daily workflow
  • Ensuring visitors, clients, and employees feel supported from the moment they arrive
Executive & Leadership Support

You’ll provide high-level support to senior leaders by:

  • Proactively managing complex calendars, meetings, and shifting priorities
  • Preparing executive correspondence, presentations, reports, and briefing materials
  • Coordinating travel arrangements, expenses, and follow-ups
  • Acting as a trusted gatekeeper and point of contact for internal and external stakeholders
  • Handling sensitive and confidential information with discretion and professionalism
  • Anticipating needs, flagging risks, and solving issues before they escalate
Who You Are

You’re organized, dependable, and calm under pressure and people trust you because you follow through. You bring:

  • 5+ years of experience in supporting Executive level and Office environment is required
  • Strong organizational and time management skills; you thrive in organized chaos
  • Excellent written, verbal, and interpersonal communication skills
  • High attention to detail, sound judgment, and strong follow through
  • Confidence working directly with senior leaders and leadership teams
  • A proactive, ownership-driven mindset, you don’t wait to be asked
  • High emotional intelligence and the ability to handle confidential matters with discretion
  • Strong proficiency with Microsoft Office
  • Must be able to pass and obtain all the required security clearances during the length of employment.
