Job summary

Tricon Residential seeks an Office Manager to lead the administration team and oversee the day-to-day operations of its Toronto office. You will support senior leaders, ensure a polished employee and visitor experience, and own workplace standards across facilities and services.

The role coordinates events, travel, vendor contracts, and security, with a focus on safe, efficient, and welcoming office environments consistent with Tricon's standards.

Qualifications

  • 5+ years in office management, workplace or facilities operations, or administrative services.
  • Experience leading administrative or workplace-services professionals.
  • Experience overseeing executive support and reception in a corporate environment.
  • Knowledge of building/office operations, maintenance planning, HVAC, and security procedures.
  • Track record managing multi-vendor relationships and budgets.

Responsibilities

  • Own the daily operation and upkeep of Tricon's Toronto office, including reception, meeting rooms, and shared spaces.
  • Lead the administration team and support employee meetings/events (setup, catering, cleanup).
  • Coordinate device provisioning (phones) for corporate staff and manage travel program in Canada.
  • Plan maintenance schedules for office spaces, building systems, and equipment; manage vendor relationships and service agreements.
  • Administer office security, access control, cameras, and liaise with IT and security vendors.

Our development programs are also delivering thousands of new rental homes and apartments as part of our commitment to help solve the housing supply shortage.Job DescriptionThe Office Manager leads the administration team and oversees the day-to-day work that keeps Tricon's Toronto office running smoothly. The role works closely with senior leaders across the business to support the team's growth and ensure administrative support remains thoughtful and reliable as priorities change. The Office Manager also owns the workplace itself, bringing care to the details that create an office experience reflective of Tricon's standards.Our Toronto corporate office is located in Bloor-Yorkville, offering a central, transit-accessible location surrounded by restaurants, shops and neighbourhood amenities.Essential Duties and Responsibilities:Workplace Operations & ExperienceOwn the daily operation and upkeep of Tricon's Toronto office - including reception, meeting rooms, and shared spaces - ensuring every space is clean, safe, functional, and polished, and setting the standard for a welcoming, professional experience for employees, executives, and visitors.Lead the administration team's support of employee meetings and events, including room setup, furniture rearrangement, catering coordination, and cleanup.Coordinate the ordering, setup, and distribution of new cell phones for employees at Corporate.Oversee Tricon's Travel Program in Canada, including booking support, vendor coordination, and policy compliance.Facilities, Vendors & BudgetPlan and coordinate preventative maintenance, repairs, upgrades, and recurring maintenance schedules for office spaces, building systems, equipment, furniture, HVAC, and specialty appliances.Own vendor and contractor relationships end to end - serving as the primary point of contact, negotiating and managing service agreements, and monitoring vendor performance, cost, and on-site work.Prepare, monitor, and track office and facility budgets and expenses, including vendor costs, maintenance spend, and project costs.Partner with internal departments on office improvements, renovations, relocations, and workstation changes, coordinating space planning, furniture, and on-site and off-site storage.Liaise with the art curator and coordinate the handling, shipment, placement, and care of artwork and other valuables.Safety, Security & ComplianceOwn office security administration, including access control, camera systems, and security setups for reception desks – serving as the primary point of contact for Tricon's security vendor and coordinating with IT as needed to keep employee, vendor, and visitor access current and appropriate.Partner with the Health and Safety Committee, building management, and internal teams to support workplace safety, emergency readiness, regulatory compliance, and timely resolution of facility risks.Administrative Team LeadershipLead and manage the administration team, including receptionists and Executive Assistants - setting clear responsibilities, priorities, service standards, and consistent procedures, tools, templates, and confidentiality standards across the team.Own the full people-management cycle for the team: recruitment, onboarding, goal setting, coaching, performance reviews, development, and recognition, partnering with Human Resources as needed.Monitor workload, capacity, and coverage across reception and executive support; allocate or rebalance work and coordinate backup support for absences, vacancies, and shifting business priorities.Build trusted relationships with supported executives and internal stakeholders to understand needs and gather feedback, acting as the escalation point for complex or confidential administrative matters.Qualifications:Excellent communication and relationship-building skills, with the judgment and discretion to work effectively with senior leaders on confidential or sensitive matters.Strong organizational and problem-solving skills, with the ability to balance people leadership, time-sensitive requests, and ongoing operations.A service-oriented, detail-focused approach and a high bar for the employee and visitor experience.Minimum Requirements:5+ years of progressive experience in office management, workplace or facilities operations, or administrative services, including direct people leadership.Proven track record leading and developing a team of administrative or workplace-services professionals, from hiring through performance management.Experience overseeing the quality and continuity of executive support and reception or front-of-house services in a corporate environment.Working knowledge of building and office operations, including facility maintenance planning, mechanical/HVAC systems, and physical security procedures.A track record managing multi-vendor relationships and associated budgets, including contract negotiation and cost oversight.Preferred Attributes:Experience leading a blended administration team that includes both Executive Assistants and reception or front-of-house professionals.Experience working within a condominium, multi-unit office building, or shared commercial building environment.Project management experience related to renovations, office moves, or facility upgrades.Familiarity with workplace health and safety practices, office compliance requirements, and emergency procedures.Work Schedule: This is a full-time, in-office role based in Tricon's Toronto office, working standard business hours Monday through Friday.Physical Demands:The physical demands described here are representative of those required to successfully perform the essential functions of this role:Frequently required to sit, talk, and hear.Frequently required to stand and move throughout the office.Frequently required to use hands and arms to grasp, handle, reach, push, and pull.Occasionally required to twist, reach overhead, stoop, kneel, squat, bend, and crouch.Occasionally required to lift, carry, and move up to 10 pounds.Vision abilities required by this role include close vision, distance vision, and depth perception.Salary RangePlacement within this compensation range will be determined by the candidate's knowledge, experience and skills.$74,380.00 - $123,960.00This position is eligible for a discretionary bonus based on company performance and individual contribution as well as an attractive benefit and wellness package.At Tricon, we are committed to creating a workplace where every individual is valued for their unique contributions, experiences, voices, and backgrounds.
