Today is the day to boost your career! Pinchin is seeking an Office Manager to join our Administrative team in our Sudbury Office, supporting all Northern Ontario Pinchin offices, including Sudbury, Thunder Bay, Sault Ste. Marie, and Timmins.

Reporting to the Operations Manager in Sudbury, the Office Manager is responsible for maintaining and coordinating efficient support services to ensure smooth office operations. This role also involves managing Administrative and Project Assistants regionally, providing daily operational support in Sudbury, and administrative support to various regional service lines. To support regional growth, the Office Manager will track Business Development opportunities and collaborate with Technical staff for planning and participation in events.

A Day in the Life of an Office Manager at Pinchin:
  • Review and approve regional corporate expenses aligned with budgets.
  • Coordinate with office vendors and suppliers (landlord, cleaners, snow removal, kitchen supplies, etc.).
  • Support company-wide initiatives as a corporate liaison.
  • Coordinate new employee documentation prior to orientation with Head Office, IT, and People and Culture.
  • Serve as the single point of contact for H&S inquiries and matters.
  • Assist managers in planning internal regional training events, lunches, and meetings.
  • Oversee and track opportunities for conferences, business development events, expos, and seminars (e.g., Chamber of Commerce, NOCA, PEO, PDAC).
  • Assist during meetings by compiling and distributing minutes as needed.
  • Plan and coordinate environmental and social activities, staff outings, and holiday events under the guidance of the Operations Manager.
  • Maintain a clean and organized desk, presenting a positive image internally and externally.
  • Manage a team of three administrators located in Sudbury, Timmins, and Sault Ste. Marie, ensuring quality control, timely report assembly, and report updates in project software.
  • Handle reception duties, including answering phones, ordering supplies, and managing mail and courier services.
  • Greet visitors and monitor office access.
What You Bring to the Pinchin Team:
  • Diploma or Degree in a relevant field.
  • Over 5 years of experience in a professional office environment preferred.
  • Valid driver’s license, sufficient insurance, and access to a vehicle.
  • Strong communication skills, both written and oral.
  • Ability to prioritize and multi-task in a fast-paced environment.
  • Excellent interpersonal skills and a positive, helpful demeanor.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
