Job description

We are looking for a highly organized and proactive Office Manager to oversee daily office operations and ensure smooth coordination across departments.

The ideal candidate is detail-oriented, resourceful, and able to work effectively in a fast-paced environment, especially within the construction or design-build industry.

Key Responsibilities
  • Manage daily office operations and effective coordination between management, site teams, and support departments.
  • Handle correspondence, documentation, and office supply management.
  • Maintain company licenses, ISO documentation, and compliance records.
  • Support tender, project, and contract documentation submissions.
  • Process petty cash, staff claims, and coordinate vendor payments.
  • Liaise with project managers, site teams, and subcontractors.
  • Track site attendance, manpower deployment, and project progress reports.
  • Assist HR with onboarding, leave tracking, and safety briefing documentation.
  • Prepare management reports and provide administrative support to directors.
  • Maintain ERP/CRM systems (e.g., HubSpot, SAP) and ensure digital filing control.
Requirements
  • Degree in Business Administration, Construction Management, or a related field.
  • 5–8 years of experience as an Office Manager, Administrative Manager, or similar role (construction/design-build industry preferred).
  • Strong understanding of ISO documentation, tender procedures, and compliance.
  • Proficient in Microsoft Office; ERP/CRM experience is an advantage.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Independent, proactive, and strong problem-solving skills.
