Office Administrator, College of Graduate and Postdoctoral Studies
Primary Purpose: To provide administrative and reception support to the College of Graduate and Postdoctoral Studies (CGPS).
Nature of Work: Reporting to the Director of Graduate Program Services, this position operates in a busy, high-volume office, often acting as the “face” of the College. The work is diverse and moderately complex in nature requiring a good understanding of the operations of the College and the University. The volume of work is high, with competing priorities, and a need to work independently and exercise judgement regularly. The person in this role will frequently interact with and support college stakeholders in a variety of media: telephone, email, and in person (upon return to campus). Effective communication skills are essential.
Education: A high school diploma and completion of some relevant post-secondary training (e.g. certificate program, business diploma, etc.) is required. An undergraduate degree is an asset.
Experience: A minimum of three years related experience in a post-secondary institution. Direct experience in graduate program administration and student services is considered an asset. Experience with Banner Student, including Banner Document Management, and RMS Recruit is required. Experience and proficiency with Microsoft Outlook and Microsoft Office Suite is required.
Skills: It is essential that the incumbent be reliable and punctual. Strong customer service skills are a must. Effective interpersonal and communication skills, both written and verbal, must be demonstrated. Ability to maintain attention to detail and apply critical thinking skills is essential; demonstrated effective organizational and time management skills; proven ability to work on multiple duties and manage competing demands; demonstrated ability to logistically track and follow up on action items; ability to work independently with minimal supervision and as part of a team; proficient in the use of Microsoft Office software products. Demonstrated knowledge of Graduate Programs, Student Information Systems, and student services on campus is required.
