Office Administrator

At Windsor Oral Surgery, we provide exemplary surgical care for those times when oral function is impaired. From wisdom tooth extraction, to implants, biopsies, and jaw surgery, we ensure that our patients receive the treatment they need to improve their lives. We’re currently seeking a new office administrator to join our dedicated team of oral health professionals. If you have a passion for helping people, we want to hear from you.

Responsibilities
  • Create an exemplary service experience for patients by greeting them by name, making them feel welcome, and allaying their fears
  • Schedule appointment bookings (surgical bookings, consultations, or recalls etc.)
  • Maintain patient records - assemble appropriate information and seek out missing pieces
  • Answer calls on our multi-line phone system
  • Complete insurance submissions without error
  • Data entry on patient management software as well as Excel and Word
  • Responsible for accounts receivable, payment plans, and collections
  • Co-ordinate hospital bookings and / or other third-party appointments

Schedule & Compensation

Working at Windsor Oral Surgery: This is a permanent full-time position, working Monday to Thursday, 8:30am-4:30pm, and Friday’s from 8:30am-1:00pm. We offer a competitive salary of $21/hour and above commensurate with experience, as well as a benefits package and vacation.

Qualifications
  • Experience as an executive assistant, administrative assistant, or office manager
  • Experience in MS Office
  • Keyboarding speed 60 wpm with accuracy
  • Experience using a point of sale terminal; balancing day end entries; basic mathematical skills (addition, subtraction, division, percentages)
  • Office Administration certificate (an asset)
  • Knowledge of medical / dental terminology (an asset)
  • Experience in dictatyping (an asset)
  • Outstanding communication skills (oral / written) with other members of Windsor Oral Surgery, patients, and third parties
  • Clear and legible handwriting (candidates will be asked to submit a handwriting sample during the interview process)
