Position Title: Office Administrator
Location: Commissionaires – Whitehorse
Reports to: Client Service Manager
Hours of Work: 8:00 AM to 4:00 PM, Mon. – Fri. (excluding statutory holidays)
Status: Full-time
Wage: 24-27/hr plus Northern Living Allowance

The Office Administrator plays a key role in client service and the overall flow of workplace operations. The key functions of the position are to be the central point of contact for employees and clients; administer drug and alcohol testing which is a key service offered at the office; client contract administration and scheduling security guards.

RESPONSIBILITIES AND JOB DUTIES
  • Organize and schedule appointments.
  • Greet incoming visitors.
  • Provide drug and alcohol testing and ID Services for referred clients, ensuring all documentation is done in accordance with policies and procedures (Training and credentials to be provided).
  • Administer onboarding of newly enrolled employees.
  • Maintain and order supplies.
  • Maintain and track security uniforms inventory.
  • Maintain, organize electronic and paper files.
  • Assist Client Service Manager to ensure staffing levels and specific work assignments at all sites are maintained with qualified and trained personnel.
  • Schedule security guard shifts using company approved software (eg. TrackTic).
  • Receive and schedule deliveries.
  • Answer incoming customer and other inquiries via phone calls and emails.
  • Other duties as assigned by the Client Service Manager.
REQUIRED QUALIFICATIONS/EXPERIENCE
  • Administrative position experience and success in a dynamic working environment.
  • CVIY to provide training and candidate expected to successfully complete Drug and Alcohol/ ID Services training.
  • Excellent time management and organizational skills, including the ability to multi-task, prioritize, work well under pressure, and meet deadlines.
  • Team player.
  • Customer focused.
  • Must maintain a high level of confidentiality.
  • Must be detail oriented and a self-starter.
  • Eager to learn.
  • Have good interpersonal skills.
  • Effective communicator – written and oral.
  • Proficient with Microsoft Office Suite applications (MS Word, Excel, Outlook) and an interest and aptitude for other systems (eg. TrackTic).
