Eva Lee & Associates is seeking a highly organized, detail-oriented Administrative Assistant to provide comprehensive administrative and clerical support to ensure smooth daily operations. The ideal candidate is proactive, professional, and able to manage multiple priorities while maintaining a high level of accuracy and confidentiality.
Administrative & Office Support
- Manage daily office operations, including answering phones, greeting visitors, and handling incoming/outgoing correspondence.
- Maintain calendars, schedule meetings, coordinate appointments, and arrange travel as needed.
- Prepare, format, and proofread documents, reports, presentations, and other materials.
- Maintain physical and digital filing systems; ensure proper organization and retrieval of documents.
- Order office supplies and manage office inventory.
Client & Team Support
- Serve as a professional point of contact for clients, vendors, and internal team members.
- Assist with onboarding procedures for new team members, including setting up workstations and organizing orientation materials.
- Coordinate internal communications and support team members with administrative tasks as required.
- Enter, update, and maintain accurate data in company systems and databases.
- Assist in preparing reports, spreadsheets, and summaries for management review.
- Handle confidential information with discretion and professionalism.
Required
- High school diploma or equivalent; associate or bachelor's degree preferred.
- 1-3 years of administrative or office support experience.
Preferred
- Experience in a professional services or consulting environment.
- Knowledge of office management tools, CRM platforms, or document management systems.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office software.
- Ability to multitask and work independently in a fast-paced environment.
Work Environment & Schedule
- Full-time position (Monday-Friday)
- In-office role unless otherwise discussed
- May occasionally require additional hours during peak periods
