Job Title: Membership & Engagement Coordinator
Salary Range: $48,500 – $61,889
Reports to: Executive Director
Location: This position is fully remote and can be performed from anywhere within Ontario. Candidates must have access to a dedicated office space with reliable internet connectivity that supports the requirements of the role.
Term of Employment: 12 Month Full-Time Contract (35 hours/week)
Full-time contract position for a period of up to 23 months. The initial 12-month term has received approval for an 11-month extension. It is the organization’s intention to convert this role to a permanent full-time position following the contract period, subject to budget approval, organizational needs, and employee performance.
About The Role:
The Membership & Engagement Coordinator plays a key role in strengthening and growing the organization’s membership community. Reporting to the Executive Director, this position is responsible for membership recruitment, engagement, retention, and administration while serving as the primary point of contact for the members and prospective members.
The Membership & Engagement Coordinator also provides administrative and governance support to the Executive Director, Board of Directors and Committees, contributes to member-focused events and programs, and helps ensure an exceptional membership experience through effective communication and relationship building.
This position requires occasional travel and the flexibility to work evenings and weekends as required to support meetings, events and organizational activities.
Major Duties and Responsibilities:
Membership Management
Promote, administer, and enhance the organization’s membership program by:
- Managing membership applications, renewals, and member inquiries.
- Developing and implementing membership recruitment and retention strategies.
- Maintaining accurate and up-to-date membership records and databases.
- Tracking membership trends and preparing reports for the Executive Director and Board of Directors.
- Monitoring member engagement and recommending initiatives that enhance member value and participation.
- Coordinating member recognition and appreciation programs.
- Serving as the primary contact for members and prospective members.
- Ensuring a high standard of customer service through timely, professional and responsive communication.
- Coordinate and administer the annual membership survey and report findings.
Communications and Marketing
Support the promotion of the organization and its membership services by:
- Collaborating with the Marketing & Project Coordinator to develop and implement membership communications and engagement strategies.
- Create and update membership-related content for the organization’s website.
- Prepare and distribute electronic newsletters, bulletins, and membership updates.
- Collecting and sharing member success stories, testimonials, and other content that demonstrates the value of membership.
- Supporting public relations and promotional initiatives that strengthen the organization’s profile and reputation.
Event Coordination
Support the delivery of member programs, events and conference by:
- Leading the coordination of the EDCO Awards of Excellence program
- Attend and support the Annual Conference.
- Representing EDCO at industry and partner events and other relevant conferences and meetings to promote membership and organizational initiatives.
- Supporting the Marketing & Project Coordinator in the planning, promotion, registration, and delivery of conferences, webinars, workshops, networking events and annual meetings.
- Assist with event logistics and on-site support as required.
- Building and maintaining strong relationships with members, sponsors, stakeholders, and partner organizations.
- Delivering presentations on membership programs, benefits, and services when required.
- Representing the organization at meetings and events that may occur outside regular business hours.
Board and Committee Support
Provide administrative and coordination support to the Board of Directors and Committees by:
- Serving as staff support for Committees.
- Attending Committee meetings, preparing agendas, recording minutes and coordinating follow-up actions.
- Assist with the preparation and distribution of Board and Committee meeting materials.
- Coordinating meeting schedules and maintaining committee records.
- Responding to Board and Committee inquiries as appropriate.
- Acting as a staff liaison to membership-related committees and working groups.
- Researching and preparing background information on membership trends, engagement strategies, and association management best practices.
Administrative Duties
- Maintaining membership and contact databases.
- Prepare reports, analytics, and statistical summaries related to membership growth, retention, and engagement.
- Support the administration of membership policies, procedures, and programs.
- Assist with contract administration and vendor relationships related to membership services.
- Monitoring and following up on outstanding membership receivables in accordance with organizational policies.
- Coordinating and posting career opportunities and job postings.
- Ensuring compliance with organizational policies, privacy legislation, and applicable regulations.
- Supporting the Executive Director with administrative and operational duties.
- Participate in professional development opportunities, industry networking, conferences, and ongoing learning.
- Perform other related duties as assigned.
Qualifications
- Graduate of post-secondary business/marketing/communications/public administration/ non-profit management, or related field.
- Minimum 2–3 years of experience in membership services, association management, customer service, event coordination, or a related role.
- Experience working with membership-based organizations, professional associations, or non-profit organizations is preferred.
- Familiar with Microsoft Office 365.
- Familiar with Association Management Systems (AMS) or CRM platforms (e.g., Membee) considered an asset.
- Advanced written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities.
- Have a valid driver’s license and access to vehicle – may be requested to travel within and outside of the Province of Ontario.
- Ability to work in own home, with regular business hours. Work outside regular business hours may also be required.
