Job summary

Qualifications

  • Diploma or degree in a relevant field or equivalent experience.
  • Minimum three years of progressively responsible administrative or executive support experience.
  • Experience supporting senior leadership or executive management.
  • Experience coordinating projects, workplans, or strategic initiatives.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
  • Criminal Record Check completed.
  • Knowledge of Indigenous governments or First Nations organizations is an asset.

MEMBER SERVICES ADMINISTRATIVE COORDINATOR

Full Time Permanent

Position Summary

The Member Services Administrative Coordinator provides high-level administrative and coordination support to the Director of Member Services while coordinating implementation of the Community Safety Strategy (CSS) across the department. Working closely with the Director, this position manages calendars, meeting priorities, correspondence, workplans, action tracking, and departmental coordination to ensure priorities are effectively organized and executed. The role serves as a central coordination point for Member Services, supporting communication, planning, and follow-through across multiple programs and initiatives.

In addition to executive administrative support, the Coordinator is responsible for coordinating the implementation of the Community Safety Strategy by maintaining implementation plans, tracking progress, supporting reporting requirements, and ensuring CSS priorities remain visible and actionable across Member Services. This position requires exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs while managing multiple competing priorities in a dynamic environment.

Duties and Responsibilities
Executive and Administrative Support
  • Provide confidential administrative support to the Director of Member Services.
  • Manage and prioritize the Director's calendar, appointments, meetings, and competing priorities.
  • Coordinate departmental meetings, prepare agendas, record minutes, and track action items.
  • Prepare correspondence, reports, presentations, briefing notes, and meeting materials.
  • Monitor deadlines and proactively ensure commitments and deliverables are completed.
  • Manage incoming requests and assist the Director in prioritizing work based on organizational priorities.
  • Coordinate travel arrangements, conference registrations, and logistics as required.
  • Maintain organized electronic and physical filing systems.
Community Safety Strategy Coordination
  • Coordinate implementation of Community Safety Strategy recommendations across Member Services.
  • Maintain CSS implementation workplans, timelines, and tracking tools.
  • Monitor progress, identify risks or barriers, and provide updates to the Director.
  • Coordinate meetings related to CSS implementation and follow up on assigned actions.
  • Support data collection, reporting, and evaluation of CSS initiatives.
  • Ensure CSS priorities remain aligned with departmental workplans and TFN strategic priorities.
Department Coordination
  • Coordinate communication and information sharing across Member Services.
  • Assist managers with planning, scheduling, and coordinating departmental initiatives related to CSS implementation.
  • Support preparation of funding reports, presentations, and internal updates.
  • Coordinate cross-department meetings and implementation activities.
  • Help maintain consistency in documentation, templates, and departmental processes.
Project and Operational Support
  • Maintain departmental workplans and project trackers. Assist with implementation of new initiatives, policies, and operational improvements. Track action items arising from leadership meetings. Support continuous improvement of administrative systems and workflows. Perform other related duties as assigned.
Administrative Support to Member Services
  • Provide administrative support to Member Services managers and teams to support planning and implementation of CSS initiatives.
  • Assist with meeting coordination, including scheduling, agenda preparation, note-taking, and tracking action items.
  • Support the organization of documents, workplans, and implementation materials.
  • Assist with internal coordination, follow-ups, and communication related to CSS priorities.
  • Ensure administrative processes are organized, timely, and aligned with implementation goals.
Qualifications and Skills
  • Diploma or degree in Business Administration, Public Administration, Office Administration, Project Management, or a related field, or an equivalent combination of education and experience.
  • Minimum three years of progressively responsible administrative or executive support experience.
  • Experience supporting senior leadership or executive management.
  • Experience coordinating projects, workplans, or strategic initiatives.
  • Exceptional organizational and time management skills.
  • Demonstrated ability to manage multiple competing priorities while maintaining attention to detail.
  • Excellent written and verbal communication skills.
  • Strong judgment, professionalism, and ability to maintain confidentiality.
  • Advanced proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Experience preparing reports, meeting minutes, and briefing materials.
  • Knowledge of Indigenous governments or First Nations organizations is considered an asset.
  • Successful completion of a Criminal Record Check.
Working Conditions
  • Office-based role within Community Services, with regular collaboration across departments.
  • Standard hours Monday‑Friday, with occasional flexibility required based on project timelines.
Compensation
  • $36.79 to $38.83 per hour. Placement within the pay scale is based on a review of skills, experience, and internal equity.
  • Annual cost of living increases.
  • BC Municipal Pension Plan – employee contributes 8.61%, employer contributes 9.31%.
