Job Title: Medical Secretary – Full Time
Location: Sunnybrook Health Sciences Centre – High Risk Obstetrical Program – Private Practice
Department: Obstetrics and Gynecology

The MFM Division’s private practice is seeking a highly organized and motivated Medical Secretary to join our dynamic team. This role is essential in supporting three high-risk obstetricians while collaborating with six additional physicians and three other secretaries. You'll play a key part in ensuring efficient clinical operations through exceptional administrative and customer service support in a fast-paced, collaborative environment.

Key Responsibilities
  • Provide full administrative and reception support to three high-risk obstetricians.
  • Manage all aspects of patient registration, appointment scheduling, and maintenance of the Patient Database.
  • Triage and book referrals, ensuring appropriate scheduling and follow-up.
  • Prepare patient files/folders and enter information into the billing system prior to clinic visits.
  • Coordinate and run 2-3 busy clinics per week (60-100 patients).
  • Handle OHIP billing for 2-3 physicians, including correcting and resubmitting error reports.
  • Coordinate and maintain physician schedules and calendars.
  • Sort and distribute daily mail and faxes.
  • Provide vacation coverage for other secretaries as needed.
  • Collaborate closely with a group of nine physicians and three secretaries.
  • Perform other duties as assigned by physicians.
Qualifications
  • Completion of a College Diploma, preferably in Medical Office Administration.
  • Minimum 2 years of recent experience in a medical clinic or related healthcare setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational, time management, and problem-solving skills.
  • Demonstrated ability to work independently with minimal supervision.
  • Strong communication and interpersonal skills with a patient-focused, professional demeanor.
  • Proven ability to manage confidential information with discretion.
  • Flexible and adaptable, able to prioritize tasks and meet tight deadlines in a high-volume environment.
  • Demonstrated reliability, dependability, and commitment to providing outstanding customer service.
  • Satisfactory attendance and work performance record is required.
Preferred Skills
  • Knowledge of electronic health records (EHR) systems and medical terminology.
  • Familiarity with PHIPA and healthcare compliance standards.

· Experience with Electronic Data Transfer (EDT) systems

· Working knowledge of the VHS booking system

· Experience using QuadraMed or similar hospital information systems

Job Type: Full-time

Pay: $18.98-$25.00 per hour

Expected hours: 37.5 per week
