Job description

We are seeking a friendly, organized, and reliable Medical Office Assistant (MOA)/Receptionist to join our patient-centered family practice. This role provides essential administrative and clinical support to ensure smooth daily operations and exceptional patient care. The position offers consistent part-time hours with opportunities to pick up additional shifts as needed, and potential for a full-time position in the future.

Regular Scheduled Hours
  • Monday: 1:00 pm – 7:00 pm (includes evening hours)
  • Tuesday – Thursday: 6:45 am – 11:30 am
  • Friday: 11:00 am – 3:00 pm
Responsibilities
Administrative Duties
  • Download and distribute incoming faxes
  • Review and return voicemails and emails promptly
  • Greet, check-in, and assist patients courteously
  • Book appointments in person and by phone
  • Call patients for results, follow-up, and rebooking as requested
  • Fax triplicate prescriptions and other documents as required
  • Check and process incoming mail
  • Assist patients with intake forms and license plate registration
  • Handle patient payments and invoices
  • Maintain and tidy the waiting room and children’s area daily
Clinical Support
  • Take and record vitals as required
  • Perform urine dip tests and Snellen vision tests
  • Assist with procedures (Pap tests, biopsies, Nexplanon insertions, etc.)
  • Act as chaperone when appropriate (e.g., female patient with male NP)
  • Clean and restock exam rooms (minimum once weekly)
  • Clean rooms post-procedure
  • Start WCB forms and prenatal records
  • Link patients from Ocean and send questionnaires/documents as needed
  • Communicate test results to patients when appropriate
Qualifications
  • Completion of a recognized Medical Office Assistant program is preferred but not mandatory
  • Previous experience in a family or primary care clinic an asset
  • Strong computer and EMR skills (Accuro or similar)
  • Excellent communication, multitasking, and organizational skills
  • Professional, compassionate, and team-oriented demeanor
Compensation
  • Competitive hourly wage ($21–$24 based on experience)

Requirements
  • Must provide both a criminal and vulnerable sector check prior to start date
  • Maintain BLS certification (training provided annually)

Pay: $21.00-$24.00 per hour
