Job description

We are looking for a dedicated and organized Medical Office Assistant to join our friendly and supportive team at our brand-new 5,000-square-foot family physician clinic in the highly sought-after Pandosy area. This is an excellent opportunity to work in a collaborative medical environment, with training provided to ensure you feel confident in your role. We may also be able to offer the flexibility of working remotely one day a week; however candidates must based in or near Kelowna, BC.

As a key part of our team, you will be responsible for managing front desk and back-office operations, handling electronic medical records, and providing exceptional patient care. Your role will be essential in ensuring the smooth operation of the clinic while supporting both administrative tasks and patient interactions.

Responsibilities
  • Greet patients and visitors warmly, ensuring a welcoming and professional first impression.
  • Manage front desk operations, including answering phone calls, scheduling appointments, and handling inquiries.
  • Maintain accurate electronic medical records (EMR) while ensuring compliance with privacy regulations.
  • Assist with patient check-in and check-out processes, including verifying insurance information and processing payments.
  • Coordinate communication between patients and healthcare providers to facilitate timely and efficient care.
  • Support administrative tasks such as filing, data entry, and maintaining office supplies.
  • Ensure the front desk area is organized, efficient, and welcoming for patients.
Experience & Qualifications
  • Previous experience in a medical or dental office setting is preferred but not required—training will be provided.
  • Familiarity with electronic medical records systems; experience with Telus CHR is a bonus.
  • Knowledge of medical terminology to effectively communicate with patients and staff.
  • Strong administrative skills with proficiency in phone systems and office equipment.
  • Excellent interpersonal skills with the ability to work collaboratively in a team-oriented environment.
  • Attention to detail and strong organizational abilities.
