Job summary

A community health provider in British Columbia is seeking a Medical Office Assistant to join their Health and Social Development team. This role involves administrative support, clinical assistance, and fostering respectful relationships with clients. Ideal candidates should have relevant qualifications and experience, particularly in a medical setting, while embodying cultural sensitivity. Knowledge of Indigenous health practices is beneficial.

Qualifications

  • Certificate in Medical Office Assistant from an accredited institution.
  • High school diploma or GED equivalent.
  • Minimum of 2–3 years’ recent experience in a medical or clinical office setting.
  • Strong knowledge of medical terminology, appointment scheduling, and electronic medical record (EMR) systems.
  • Experience performing administrative and clerical tasks in a fast-paced, client-focused healthcare environment.
  • Knowledge of infection control practices and experience maintaining a clean and organized clinical setting.
  • Excellent interpersonal and communication skills with a client-centered and professional approach.

Responsibilities

  • Greet clients and manage front desk operations including answering phones and booking appointments.
  • Process patient referrals and requests for information in accordance with privacy standards.
  • Maintain accurate and up-to-date electronic medical records using Profile (EMR).
  • Transcribe dictations and prepare documentation such as case histories, letters, reports, and forms.
  • Submit medical billing, insurance, and claims paperwork.
  • Manage records management systems, including organizing and coding files (electronic and hard copy).
  • Operate office equipment such as fax machines, photocopiers, and document scanners.
  • Track and submit payment processing and bank deposits for clinic transactions.
  • Attend team meetings and participate in quality improvement initiatives.
  • Order medical supplies and office supplies as needed.
  • Prepare exam rooms and ensure medical supplies are stocked and organized.
  • Assist with intake procedures, including recording patient vital signs and health history as required.
  • Support physicians and other health professionals during examinations as appropriate.
  • Ensure cleanliness and infection control procedures are upheld in the clinic environment.
