Job Class: Full-Time, Permanent

Salary Range: $22.00 – $24.00 CAD per hour

Position Summary

The Medical Office Assistant, Diagnostic Imaging, supports daily operations within the Diagnostic Imaging Department at WELL Health Medical & Longevity Centre. This role involves coordinating patient flow, assisting with imaging preparation, and ensuring adherence to established clinical and administrative standards. The successful candidate will demonstrate excellent communication skills, attention to detail, and a strong commitment to patient care and confidentiality.

What you will be doing
  • Coordinate patient care throughout the clinic, including check-in, preparation, and escorting patients to change rooms.
  • Respond to patient inquiries by phone, email, and in-person in a professional and respectful manner.
  • Verify that all requisition and referral forms are legible and signed by a physician.
  • Maintain appointment schedules in Velox, including booking, billing, and reporting.
  • Manage patient charts in OSCAR EMR, including linking reports, uploading requisitions, and supporting patient documentation.
  • Relay MRI/CT preparation instructions to patients as needed.
  • Ensure MRI/CT areas are properly stocked and prepared for each patient (gowns, scrubs, linens, etc.).
  • Handle patient images and reports in compliance with HIPAA and privacy regulations.
  • Assist MRI/CT technologists and radiologists as required.
  • Maintain clear communication between patients, technologists, and radiologists.
  • Ensure the waiting room, change room, and recovery area remain clean and organized.
  • Perform additional administrative and clinical tasks as requested by the Clinic Manager.
  • Provide all patient care with a focus on empathy, efficiency, and service excellence.
You have
  • Completion of a Medical Office Assistant certificate program or equivalent experience (2+ years preferred).
  • Previous experience in a Diagnostic Imaging environment is an asset.
  • Strong communication and organizational skills.
  • Proficiency in Microsoft Office Suite and EMR systems such as OSCAR and Velox (an asset).
  • Fluency in English; proficiency in Cantonese and/or Mandarin is beneficial.
  • Strong judgment, reliability, and problem-solving skills.
  • Basic Cardiac Life Support (BCLS) certification required.
  • Knowledge of medical terminology and confidentiality standards.

The wage offered for this position falls within a specified range and will be determined based on experience, qualifications, and organizational needs.
