Job Summary

We are seeking a detail-oriented Medical Office Assistant to join our healthcare team. The ideal candidate will assist in the smooth operation of our medical office by providing excellent administrative support. As a Doctor’s Medical Office Assistant, you will be an essential part of our paediatric care practice. You will greet patients and their families, schedule appointments, manage patient records, and ensure a warm and welcoming environment. Your role will be instrumental in creating a positive experience for our young patients and their caregivers.

  • Location:Okotoks Paediatric Clinic
  • Schedule: Monday to Thursday 8:00am to 4:30pm
  • Job Type: Full-time
  • Pay: From $19.00 per hour
  • Expected hours: 30 – 34 per week

Requirements

  • High school diploma required.
  • Completion of a Medical Office Assistant course
  • 1+ years of Medical Office Assistant experience in a related field is required.
  • Prior experience as a medical receptionist or in a similar administrative role is helpful.
  • Proficiency in basic computer skills and data entry.
  • Familiarity with the Electronic Medical Record (EMR) system.
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills.
  • Ability to work both independently and as a valuable team member taking direction.
  • Willingness to adapt to new roles with initiative and self-directedness.

Key Position Duties

  • Patient Registration:Collect and verify patient information, insurance details, medical and pharmacy history. Maintain accurate and updated patient records in EMR. Update electronic medical records (EMRs) by recording patient allergies and demographics (Personal Health Number, address, phone number) after each visit.
  • Patient Reception: Greet patients, their families, and visitors warmly in person and over the phone. Assist in patient check-in and ensure they have the necessary forms and information completed one week prior to a scheduled visit. Demonstrate courtesy, politeness, and helpfulness to the public and patients at all times. Explain clinic policies to patients when required in a polite manner.
  • Maintain Waiting Area:Ensure the waiting area is clean, organized, and child friendly. Monitor patient flow and provide assistance or special accommodations as needed. Ensure rooms are tidy after each patient.
  • Patient Measurement: Weigh and measure pediatric patients, updating their records accurately and escort them to a room that is prepared and clean.
  • Examination Rooms: Prepare examination rooms, set up and maintain (restock) medical supplies and equipment in all examination and procedure rooms in the absence of the clinic nurse.
  • Supplies: Maintain an accurate inventory list and order materials as needed.
  • Clerical: Administer requests for patient information (e.g., transfer patient files to/from other clinics, printing files) in accordance with protocols while ensuring confidentiality.
  • Appointment Scheduling: Schedule appointments for patients according to doctor preferences.
    • Efficiently schedule, reschedule, and confirm patient appointments
    • Coordinate with medical staff to maintain smooth appointment availability.
    • Assist in booking sub-specialist, diagnostic, surgical procedures and phone consults as needed.
    • Deliver messages and documents accurately.
    • Assist patients and their families with inquiries and provide information when necessary.
    • Confirm and schedule physicians according to their preference
  • Medical Forms and Documentation: Prepare and manage medical forms, referrals, and other documentation.
    • Scan, download, and link patient labs and Netcare documents into the Electronic Medical Record
    • Work closely with healthcare providers to ensure timely completion of patient forms.
  • Follow Policy and Procedure: Adhere to clinic guidelines and contribute to the development of new ones.- Collect fees according to protocol (e.g., no-show appointments, uninsured services).
    • Complete third-party requests.
  • Collaboration:Assist with training new staff as requested. Welcome and assist in scheduling medical students, medical residents upon request. Prepare board room for meetings with colleagues and case conferences. Willingness and ability to work.
