Job summary

The Woolwich Community Health Centre is hiring a Medical Office Administrator on a part-time relief contract (0.5 FTE, 18.75 hours/week) until 2027-03-31. The role provides clerical, reception, and administrative support to an inter-disciplinary health care team across clinics in St.

Jacobs, Wellesley, Linwood or New Hamburg as needed. Responsibilities include scheduling appointments, managing health records, PHIPA-compliant confidentiality, and handling calls with professionalism.

Qualifications

  • High School Diploma or equivalent. College Diploma preferred in related health administration field.
  • Previous experience required within a medical facility.
  • Medical Terminology and ability to triage.
  • Must be proficient in English (fluency in reading, writing, speaking, listening/understanding).
  • EMR knowledge. Experience with Practice Solutions EMR is considered an asset
  • Exceptional organization and prioritization skills.
  • Detail oriented, accuracy and ownership.
  • Excellent interpersonal and communication skills (written and verbal).
  • Ability to work individually and as a part of our team.
  • Capacity to multi-task in a fast-paced environment under pressure essential.
  • Excellent customer service skills and professionalism.
  • Punctual, courteous, and a positive attitude.
  • Must be able to work at all locations as needed.

Responsibilities

  • Providing clerical/administrative support to the multi-disciplinary health team.
  • Confidentiality and adherence to PHIPA.
  • Computer system: Booking appointments, managing schedules, preparing documents, managing messages/completing assigned tasks.
  • Working on-site with appropriate PPE if required, in an ever-changing healthcare climate.
  • Answer incoming telephone calls, greeting in person clients, booking appointments, providing information, or directing appropriately in a professional and efficient manner while following process.
  • Process fee-for-service payments.
  • Ensure a safe, clean, tidy, and secure working environment utilizing relevant occupational health and safety guidelines.
  • Ability to manage interruptions, distractions and changing priorities; must be able to function in a very busy office setting; ability to multitask and manage multiple responsibilities.

Job description

Woolwich Community Health Centre (WCHC) is hiring a Medical Office Administrator for a Part-time Relief Contract (0.5 FTE, 18.75 hours/week) until March 31, 2027. The Medical Office Administrator team provides support to an inter-disciplinary health care team, primarily through client appointment scheduling, health records management, and general clerical, reception, and administrative support to the health care team. This is a relief position that may require the successful candidate to work at the St. Jacobs, Wellesley, Linwood or New Hamburg clinics, as operational needs dictate.
