Job description

Bring Your Heart for Healthcare — Join Our Administrative Team!

We’re Hiring: Medical Administrative Coordinator (Full-Time)

Compassionate. Organised. The kind of person people trust.

That’s who we’re looking for to join our clinic team as a full-time Medical Administrative Coordinator.

At our clinic, we believe that excellent healthcare isn’t just about diagnosis and treatment — it’s about how patients feel every step of the way. The right administrative team makes that possible. You’ll be part of a practice that values thoughtful care, attention to detail, and meaningful connection with every patient we serve.

Your Role

As a Medical Administrative Coordinator, you’ll be a steady, supportive presence for both our patients and our Nurse Practitioners. You’ll help ensure that patient care flows smoothly behind the scenes — from the first phone call to follow-up appointments — with kindness, accuracy, and professionalism.

Patient Care Coordination

  • Schedule patient appointments thoughtfully and efficiently.
  • Coordinate referrals, tests, consultations, and follow-ups.
  • Support patients with prescription refills, questions, and special requests.
  • Advocate for patients by liaising with external partners, including insurance companies, legal firms, and government agencies.

Practitioner Support

  • Ensure our Nurse Practitioners have up-to-date patient information, reports, and documentation.
  • Manage electronic medical records (EMRs), including scanning, uploading, and organising files accurately.

Billing & Administration

  • Maintain current contracts for program participants.
  • Accurately record and reconcile services for billing and shadow billing.

What You Bring

  • Completion of a Medical Office Administration Diploma (or equivalent experience).
  • Prior experience in a healthcare or medical office setting.
  • Strong interpersonal skills: warm, clear, professional communication with patients and team members.
  • Exceptional attention to detail, organisation, and problem-solving.
  • Proficient with technology (MedAccess EMR, Teams, Outlook — or eager and able to learn quickly).
  • A strong sense of confidentiality and professional integrity.

Why Join Our Clinic

  • Be part of meaningful work: Help patients experience healthcare that is thoughtful, personal, and supportive.
  • Collaborative team: Work alongside Nurse Practitioners who value your role and expertise.
  • Stable, full-time schedule: Monday to Friday, 8:00 AM to 4:30 PM.
  • Convenience: Paid on-site parking.
  • Growth and development: Opportunities to build your skills in a supportive, respectful environment.

If you are highly organised, compassionate, and eager to contribute to a practice that cares deeply about patients, we would love to meet you.

Apply today and help us continue to deliver healthcare the way it should feel.

We thank all applicants for their interest. Only those selected for an interview will be contacted.
