Job description

We are looking for a Marketing Operations Partner whoplays a critical role in supporting the day-to-day operational rhythm of Lightspeed’s global Marketing organization. This role is ideal for someone who thrives in behind-the-scenes execution, loves working with data and tools, and enjoys cross-team collaboration.

This position will be responsible for owning the monthly marketing budget tracking and forecasting process across multiple teams and categories, partnering closely with regional budget owners and Finance to ensure spend is accurate, accounted for, and aligned with yearly targets. Alongside budget ownership, the coordinator will support a variety of internal programs and processes — from OKR tracking and event logistics to documentation upkeep and onboarding workflows — helping ensure the Marketing team operates smoothly and efficiently across global teams.

This role is split between two key functions:

  • 50% Budget Management
  • 50% Operations Support & Coordination
What you'll be doing:
1. Marketing Budget Coordination (50%)

You will own the monthly forecasting and reconciliation process for the marketing organization’s annual budget. This includes:

  • Managing a monthly budget tracker that spans 6 categories:
  • Europe (EMEA) Marketing
  • Asia Pacific (APAC) Marketing
  • Global Marketing Initiatives
  • Consultants, Travel & Entertainment (T&E)
  • Marketing User Licenses
  • At the start of each month, coordinate with budget owners in each category to forecast expected spend.
  • At the end of each month, collect and reconcile actuals, ensuring consistency with the company’s financial records and helping teams stay within their annual budgets.
  • Track overages/underspend across categories and flag risks or opportunities to reallocate.
  • Work closely with Finance to provide inputs for P&L, variance explanations, and quarterly reviews.
  • Maintain accuracy and documentation of all marketing-related expenses to support audits, planning, and ROI tracking.
2. Marketing Operations and Program Support (50%)

Drawing from the current scope of marketing operations work, you’ll help execute and coordinate a number of internal processes, including:

Project & Program Coordination
  • Assist in coordinating OKR planning and tracking for the Marketing team.
  • Track milestones, timelines, and documentation for quarterly Marketing QBRs and Town Halls.
  • Support the planning and execution of internal events, such as Regional Summits, leadership offsites, and internal workshops.
Process & Resource Management
  • Maintain the Marketing onboarding process: update welcome decks, access resources, and coordinate onboarding sessions with managers.
  • Update and organize internal knowledge hubs, documentation, and tools on MyLightspeed.
  • Help enforce Marketing governance standards, such as campaign approval flows and compliance checkpoints.
  • Implement and track success of new and revised Marketing operations processes.Support the tracking of company-wide requirements like mandatory trainings, compliance deadlines, and department deliverables.
Administrative & Communication Support
  • Maintain centralized calendars for Marketing Leadership and department-wide events.
  • Provide support with recognition programs, training logistics, and other internal initiatives.
  • Partner with stakeholders to support ad hoc reporting needs and special projects.
  • Serve as a liaison between function leaders, helping gather inputs, prep docs, or circulate updates when needed.

  • Contributing as part of the wider team to achieve organisational objectives even if this means doing things that aren’t strictly within the scope of your role.
What you need to bring:
  • 2–3 years of experience in Marketing operations experience, or Marketing project management.
  • Experience working with creative and marketing teams, preferably in a fast-paced environment.
  • Familiarity with project management tools like Monday.com, Trello, Jira, or similar.
  • Strong written, verbal, and presentation skills.
  • Bonus: Experience in creative services, GTM operations, or Marketing production workflows.
