Reporting to the Vice President, System Innovation, Executive Director, Medical Affairs & Research, this position will provide operational leadership and administrative support to Providence Care-based investigators, research staff, students, and trainees and will lead the development and implementation of programs that support the continued growth of research across Providence Care Centre (PCC).

Education and Experience
  • Master’s degree in health-related field
  • Five (5) years of experience working in a clinical research and/or research administration environment
  • Two (2) years of experience in a progressively responsible position leading a team in a clinical research, research administration, university and/or hospital setting
  • Consideration may be given to an equivalent combination of education and experience
Position Responsibilities
Operational Management
  • Provides operational leadership for the day-to-day activities of the Research Department
  • Provides leadership and administrative support to non-clinical trials, including development of contracts, non-disclosure agreements and confidential disclosure agreements
  • Provides oversight of research accounts and funds (overhead management and research support funds from Queen’s in collaboration with the PCC Finance department)
  • Supports the management of the Scientist Program (onboarding, transition to Associate Researcher, management of funds)
  • Manages the Associate Researcher program and follows the process for recruitment and retention of new faculty members and staff researchers
  • Coordinates the acquisition of departmental research equipment and oversees administrative planning for research infrastructure
  • Leads the summer student program
  • Leads the Research Experience Partner Engagement Program
  • Supports the Research Centres strategy to support recruitment and retention of current and new Centres in Providence Care
  • Leads the planning and delivery of the annual research day and other research led events in Providence Care
  • Develops operational recommendations that support the strategic plans of the department and increases interdisciplinary research activity across Providence Care
  • Provides guidance to investigators, researchers, students and trainees regarding institutional research processes, research administration, departmental resources and organizational policies
  • Support primary investigators and oversee the identification, application and submissions of research grants
  • Assists investigators, research staff, students and trainees to liaison with other departments/units and staff members within Providence Care and regional partners such as Kingston Health Sciences Centre (KHSC) and Queen’s University
  • Leads the planning and implementation of programs of education and training (includes providing assistance in the development of materials) for investigators, research staff, students and trainees. Helps to train investigators, research staff, students and trainees
  • Attends internal/external meetings related to research administration, research operations and departmental initiatives
  • Assists in the management of research contracts, in conjunction with Medical Administration
  • Acts as Hospital Administrator for Tools for Research at Queen’s (TRAQ), the portal for obtaining all hospital and departmental approvals for research. Conducts regular quality assurance and database entry on all applications submitted to ensure all necessary approvals are in place for clinical research and clinical trials that fall under PCC and helps to ensure the data is accurate and complete for internal/external reporting. Acts as Hospital/University Administrator for NIH’s clinical trials registry, and other platforms as required
  • Carries out audits and identification of common errors in existing TRAQ applications and develops solutions to fix problems
  • Manages and submits Ontario Hospital Association and Top 40 Research Hospitals annual data reporting, in conjunction with research partners, PCC Finance Department, Principal Investigators, KHSCRI, KHSC and Queen’s
  • Prepares recommendations of assignment of space within PCC Research Department and management of space use, including allocating space to students, PIs, and PCC Research staff.
  • Promotes and maintains client and staff safety by ensuring adherence to all relevant safety standards as required by the Program, Providence Care, and provincial regulations
  • Implements and administers all team, program and corporate policies and procedures
  • Collaborates with the Regional Director and Clinical Director in the development of team policies and procedures
Staff Management
  • Initiates recruitment of new staff for the assigned team, working with Human Resources to coordinate recruitment, interviewing, hiring and orientation of new staff, as needed
  • Coordinates staffing including assignment of duties; reviews and approves scheduling of staff to ensure appropriate coverage
  • Guides the professional development of staff including developing and implementing individualized orientation and learning plans and ensuring effective learning conversations with staff members as per policy
  • Manages performance of direct reports including, ongoing coaching, mentoring, counseling and/or disciplinary action, involving other relevant stakeholders as appropriate (i.e. Human Resources, Quality & Risk Management)
  • Reviews and approves scheduling of staff to ensure appropriate coverage, including assignment of duties
  • Administers the Attendance Support Program for all direct reports
  • Collaborates with the team and community partners to identify educational needs of team members; provides leadership in the implementation and delivery of continuing education initiatives, promoting an environment conducive to continuous learning, professional development and research
  • Promotes and supports staff involvement in local, regional and provincial educational and developmental activities as appropriate
  • Ensures staff are following program and corporate policies and procedures and collaborates with the leadership team in the development of team policies and procedures
Financial Management
  • Works in collaboration with the Regional Director to develop annual portfolio budget
  • Manages annual portfolio expenditures within budget and submits budget reports as required, approving operating and capital expenditures within authorized limits
  • Performs variance analysis, recommending actions and recovery plans as required, and develops proposals and business cases for major expenditures and capital purchases for submission to the VP & Executive Director
  • Oversees the management of team specific financial records and budget as required
Other
  • Works in compliance with the Health & Safety Act and its regulations in performing duties in a safe manner and follows all health and safety policies, procedures and legislation including, wearing the appropriate Personal Protective Equipment (PPE), as required
  • Performs other duties as assigned
