The Role:

The Low‑Rise Assistant Property Manager is responsible for the day‑to‑day operational and tenant service management of a 900‑unit low‑rise residential portfolio. Reporting to the Residential Property Manager, this role ensures service quality, AR oversight, unit turnover coordination, and leasing support across multiple developments. This position acts as a key link between leasing, operations, admin, and tenant experience functions, ensuring service standards, policy adherence, and performance objectives are met. The role includes support for budgeting, reporting, and system documentation using Yardi Voyager and RentCafe.

In this Role you will:
  • Provide daily oversight of service request completion, common area standards, and preventive maintenance across the low‑rise portfolio.
  • Serve as the primary contact for tenant escalations not resolved by administrative personnel.
  • Coordinate timely resolution of work orders and service vendor scheduling.
  • Oversee unit turnovers, inspection processes, and deficiency resolution for all move‑outs and upcoming move‑ins.
  • Conduct regular site visits and ensure properties are maintained to brand and operational standards.
  • Monitor and respond to resident concerns escalated beyond the leasing or experience teams.
  • Support enforcement of lease terms, including pet policies, noise complaints, and maintenance access.
  • Prepare and send formal tenant communications (e.g., entry notices, policy updates) as per the Residential Tenancies Act.
  • Assist in rent collection oversight and coordinate with the AR team for follow‑up on delinquencies or N4 processes.
  • Act as the key liaison between the leasing team, resident experience coordinators, and admin support.
  • Participate in weekly coordination meetings and track action items for the low‑rise portfolio.
  • Support onboarding of new staff within the low‑rise residential team and participate in SOP updates.
  • Review leasing and renewal activity in RentCafe to ensure unit status accuracy and alignment with internal KPIs.
  • Assist the Residential Property Manager in tracking expenditures against budget, particularly for repairs, supplies, and contracted services.
  • Provide input into the annual budgeting process, including turnover cost projections, service contract review, and staffing needs.
  • Support monthly reporting on occupancy, move‑ins/move‑outs, service request completion, and AR metrics.
What you bring:
  • 2–3 years of residential property management or assistant property management experience.
  • Familiarity with Ontario’s Residential Tenancies Act and rental operations.
  • Proven experience coordinating service requests, unit turnovers, and administrative support.
  • Strong interpersonal and organizational skills; ability to work across multiple sites.
  • Proficiency in Yardi Voyager and Microsoft Office Suite required; RentCafe experience an asset.
  • Experience with new build lease‑ups or managing sites under active construction turnover.
  • Conflict resolution training or experience managing resident complaints.
  • Bilingualism (English/French) is an asset in the Ottawa market.
