Designated Work Location: 15-30 Fort Street – On site

Position Type: Two (2) Temporary, Full-time (Up to 18 months)

Hours of Work: 8:30 a.m. to 4:30 p.m., Monday to Friday

Salary: $1,798.30 - $2,105.55 bi-weekly, as per the Clerk B Classification within the C.U.P.E. Collective Agreement.

Job Profile

Under the supervision of the Principal Planner, the Long Range Planning Clerk Downtown Branch Clerk is responsible for the provision of general clerical and administrative duties in support of the Urban Planning and Design Division, including file and documentation management, greeting and providing information to customers, diarizing and organizing various meetings, monitoring project and program deadlines, and providing administrative and financial services.

As the Long Range Planning Clerk / Downtown Branch Clerk
  • Provide general clerical services to the Plan Implementation/Long Range Planning Branch, including the Housing portfolio and the Downtown and Neighbourhood Main Streets Branch.
  • Perform various financial functions for the Division.
  • Provide administrative and financial support to the Housing team in delivery of the City’s housing programs.
  • Provide excellent, respectful customer service and front desk reception in support of Branch and Division operations.
Your Education And Qualifications Include
  • Office Business Administration diploma or similar diploma/certification. A combination of education, training and experience will be considered.
  • Two (2) years’ experience providing clerical support in an office environment. This may include but is not limited to drafting correspondence, maintaining electronic and paper filing systems; mail processing; reception duties; and minute taking, etc.
  • Data entry experience processing large amounts of data with accuracy and efficiency.
  • Experience with Microsoft Office applications such as Word, Excel, and Outlook.
  • Knowledge of basic financial and/or accounting functions.
  • Customer service experience and the ability to deal with the general public in sometimes stressful situations in a courteous manner, both in person and over the telephone.
  • Ability and willingness to acquire additional computer software and administrative skills.
  • Ability to manage multiple duties at the same time, organize work and set priorities in order to meet strict deadlines.
  • Ability to establish and maintain good working relationships with all levels of staff and external stakeholders.
  • Strong communication skills with the ability to convey clear and concise information to a variety of audiences.
  • Strong written communication skills with the ability to produce professional correspondence, proofread documentation and use correct spelling and grammar.
  • Ability to work independently and as part of a team with minimal supervision, often using own judgement.
  • Ability to set up, organize and maintain filing and record management systems.
  • Ability to work with confidential and sensitive information and maintain confidentiality.
  • Knowledge and use of City of Winnipeg Human Resources (e.g., PeopleSoft), financial (e.g., PeopleSoft Financial) and workflow management software (e.g., AMANDA) would be an asset.
