Job description

We are one of the first all-remote companies with 2,000+ team members utilizing our virtual office called eXp World. This role is work-from-anywhere in Quebec, Canada.

What you will do:
  • Review all new listing files within eZmax, including the Brokerage Contract, Title, Prior Deed of Sale, and other accompanying documents to ensure the file is complete and compliant with provincial, OACIQ and company rules and policies.
  • Ensure the agent has uploaded all mandatory disclosures, and fulfilled FINTRAC form requirements within Fintracker (app).
  • Review and verify documents that accompany a variety of ownership and property types: ie: co-ownership, revenue property, commercial, industrial, rental, etc.
  • Cross reference Centris/MLS system, and ensure Brokers/Agents have loaded their paperwork into eZmax in a timely manner. Escalate to the AEO or CRB when necessary.
  • Manage incoming requests from Centris Member Services re: irregularities notices, verifying items listed on Centris that are against the MLS rules and regulations.
  • Follow up diligently with Brokers/Agents on deficiencies, potential title or co-ownership financial issues, missing documents or any corrections needed.
  • Manage eZMax Listing Stages: listing expiries, listing cancellations, off-market modifications, price reductions or any modifications.
  • Process all listing amendments or cancellations by cross-referencing info with the EBC to ensure accuracy. Process verifications in eZmax that are triggered by Centris.
  • Facilitation of new Brokers/Agents transferring current listings over to eXp and verification of their listing transfer letters for brokers integrating the agency.
  • Assist the AEO or CRB with Listing Transfer Audits.
  • Keep management apprised of any recurring issues or matters that need to be escalated.
  • Maintain all listing documentation on file in an organized manner.
  • Work as a team with the Transaction Specialists to ensure listing files are as complete as possible prior to the Brokers/Agents prompting a sale.
  • Other Accountabilities as Assigned.
How you will grab our attention:
  • Office Management or Administration or related field highly preferred High School Diploma/GED required
  • 1+ years in a similar role in a real estate Agency
  • Must be Bilingual (English & French)
  • Strong computer skills are a must
  • Knowledge of the eZmax platform is preferred
  • Knowledge of OACIQ practices concerning the keeping of records, registries and experience reviewing and processing all types of Exclusive/Non Exclusive Brokerage Contracts
  • Knowledge of which forms are required to verify specific ownership types
  • Familiarity with OACIQ & Centris/MLS systems
  • Able to prioritize and stay focused in a fast-paced environment
  • Able to work quickly with attention to detail
  • Team player
  • Broker-centric mindset with positive and clear communications skills
