The role includes assisting with corporate maintenance and filings, corporate records and minute books, transaction documentation, ALF data maintenance, and coordination with lawyers, clients and internal resource teams. McCarthy Tétrault employees benefit from a hybrid work environment.

Salary Range : $62,000 - $67,000 annually

The offered salary may vary based on the candidate’s job-specific knowledge, skills and experience.

As a Legal Assistant (Business Law), you will be:

  • Providing day-to-day administrative and transactional support to Business Law paraprofessionals.
  • Assisting with the preparation and processing of corporate documents relating to annual maintenance, extra-provincial registrations and cancellations, changes of name, directors and registered offices, and other corporate matters.
  • Assisting with corporate transactions, including preparing, formatting, proofreading and organizing transaction and closing documents and correspondence.
  • Maintaining corporate information and records in ALF, including entering and updating entity information and ensuring records are complete and accurate.
  • Maintaining corporate minute books and share certificate records and ensuring documents are appropriately filed in the Firm’s document management system.
  • Uploading and organizing documents in Closing Folders and assisting with closing and post-closing matters.
  • Coordinating signatures, execution copies, filings, searches and other transaction-related requirements.
  • Monitoring deadlines and outstanding items and following up proactively to ensure work is completed within required time frames.
  • Managing mail for the paraprofessional team and preparing correspondence and reports.
  • Coordinating work with the Firm’s other resource groups, including Document Specialists, Administrative Clerks and Billing Analysts, as appropriate, and ensuring assigned tasks are completed in a timely manner.
  • Providing consistent backup support when other assistants are absent and supporting team members who may be managing multiple tasks or difficult deadlines.
  • Performing general administrative tasks, including scanning, emailing, arranging courier pick-ups and coordinating meetings, rooms, catering or audio-visual equipment, as required.
  • Maintaining and developing job knowledge and technical skills by identifying and participating in learning opportunities.
  • Working proactively and collaboratively with lawyers, paraprofessionals, assistants and other members of the Business Law team.
  • Ensuring that all work is completed accurately, efficiently and in accordance with Firm standards and procedures.

As our ideal candidate, you will have:

  • Post-secondary education in Legal Assistant studies or an equivalent qualification.
  • Minimum 1 year of experience as a Legal Assistant, or Administrative Assistant, ideally acquired in a law firm or professional services environment.
  • Experience supporting a Business Law, corporate or transactional practice would be considered an asset.
  • In-depth knowledge of business and legal terminology.
  • Experience with ALF or another corporate records or entity management system would be considered an asset.
  • Strong attention to detail and excellent word processing, spelling, grammar, proofreading and editing skills.
  • Capacity to perform duties with speed and accuracy.
  • Strong time-management, organizational and multitasking skills, with the ability to work under pressure, meet tight deadlines and adjust to changing priorities.
  • Ability to follow up on files, deadlines and outstanding items with minimal supervision.
  • Ability to work effectively both in a consultative team environment and independently.
  • High level of discretion and confidentiality.
  • Flexibility to work overtime as needed.
  • Solid computer knowledge, including Microsoft Office, and the ability to keep current with changes in technology and learn other software used by the Business Law team.
