The Role

The primary duties for this role are document control, including formatting, preparing, issuing and receiving documents.

The ideal candidate will be professional and reliable with a team player attitude. Excellent organizational and interpersonal skills, as well as punctuality and fluency in the English language with strong verbal and written communication skills are required.

Responsibilities include:

  • Providing document control and administrative support for the development of letters, reports, proposals and other documentation in accordance with company templates and quality procedures.
  • Ensuring final documents and drawings are signed and formatted in accordance with established procedures before they are issued.
  • Logging, transmitting and receiving documents and drawings through the document control software interface following established operating procedures and work instructions. Ability to read and understand work instructions and to keep up to date with quality procedures as applicable to the role.
  • Ensuring there is adequate inventory of office and kitchen supplies, ordering supplies as required.
  • Greeting visitors and receiving phone calls.
  • Event planning for conferences, training activities and special events.
  • Support staff in the preparation of travel arrangements.
  • Maintaining general cleanliness of main areas such as the lobby, staff kitchen, and conference room.
  • Maintaining office equipment.
About You

To fill the role, we’re looking for an applicant to bring forward a good mix of qualifications and previous experience. Some highlights could include:

  • Minimum of 2 years of administrative or related experience.
  • Post-secondary certificate/diploma in an administration or business field is preferred.
  • Experience and proficiency with Adobe Acrobat and Microsoft Office suite, especially Word and Excel, is essential.
  • Previous experience working with document templates and styles in Microsoft Word is an asset.
  • A professional manner combined with the flexibility to multi-task and meet deadlines and changing priorities.
  • Ability to work in a team environment with strong collaborative skills.
  • Ability to learn new systems and adapt to change quickly.
  • Excellent organizational, interpersonal, and communication skills.
  • Ability to build relationships and collaborate with employees and senior management.
  • Over time may be required on an as-needed basis or the hours of work can vary on occasion based on the needs of the business.
  • Hours of Work: 40 Hours/per week.
