Position Summary

The Junior Accountant will report to the Controller or designate. The Junior Accountant will provide support to the Finance department in maintaining fiscal records and preparing financial reports, including monthly bank reconciliations. The Junior Accountant is directly responsible for accounts payable, ensuring timely and accurate processing of payment documents such as purchase orders, travel reimbursements, and any other accounting transactions. The Junior Accountant is also responsible for accurate processing of cash receipts and ethanol invoicing. The Junior Accountant will also assist with general accounting functions and provide support for external audits and internal reporting for Management. Other duties may be assigned as required.

Minimum Qualifications and Skills
  • Must be a minimum of 18 years of age.
  • Minimum 1‑2 years in an Accounting, Accounts Payable or equivalent role.
  • Must possess a post‑secondary education in Accounting, Finance, or have experience in a related field.

Responsibilities
  • Support the Finance and Accounting teams in departmental activities such as:
    • Preparing expense reports and maintaining files.
    • Complete filing for Accounts Payable and Accounts Receivable Activities.
    • Enter invoices for payment processing.
    • Check and match remittance slips to Invoices Paid. Ensure appropriate approvals are attained.
    • Monitor, forward, and respond where appropriate to AEC’s Accounts Payable email account.
    • Facilitate appropriate follow up with appropriate parties to ensure vendor and banking information is accurate.
    • Ensure timely response time to AEC’s vendors and suppliers.
    • Support year‑end accounting activities.
    • Enter AR cash receipts.
    • Prepare weekly ethanol invoices and all related accounting functions.
    • Prepare weekly and monthly bank reconciliations.
  • Assist the Controller with maintaining fiscal records and preparing financial reports.
  • Complete monthly reconciliation for all accounts.
  • Provide direct administrative and office management support to all members of the AEC team, as directed by verbal or written instruction.
  • Provide daily checks on ethanol bills of lading (BOL).
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
  • Provide support for tax planning and compliance with Federal, Provincial, and other applicable taxes.
  • Maintain an accurate and complete trail of supporting documentation for all financial and bookkeeping activities.
  • Handle confidential information with discretion and professionalism.
  • Work in compliance with all Company policies, procedures, and Legislation.
  • Report all workplace incidents to the Controller or designate.
  • Act as a representative of the company when communicating with customers, contractors, and vendors.
  • Demonstrate effective problem‑solving skills and willingness to work as a group toward solutions.
  • Demonstrate ability to effectively understand, listen, verbalize, and write information.
  • Perform other duties as delegated.
Health & Safety Aspects

The successful candidate must comply with the health and safety rules defined in AEC’s policies. The candidate must comply with the provisions of the Occupational Health and Safety Act and use all equipment, protective devices and/or clothing required by AEC.

Use of the following clothing and personal protective equipment is required when outside of Administration Building:

  • 100% Cotton Clothing or FR rated Clothing
  • Long Sleeve Shirt
  • AEC approved safety work boot (CSA approved, steel toed, minimum 6” in height, etc.)
  • Hard hat (except in clearly defined office areas)
  • Safety Glasses
  • Hearing protection (where required)
  • High visibility clothing (uniform/vest/coat)
  • Respiratory protection (where required)
  • Other PPE as required

The successful candidate must fully participate in the training required to perform in the position. Candidate must be aware of vehicle traffic, such as forklifts, pay loaders, and tractor‑trailers.

Mental and Physical Effort
  • The position requires multitasking while maintaining focus on all steps in the process. The Junior Accountant must display strong attention to detail and demonstrate strong organizational skills.
  • The Junior Accountant must be able to work independently and demonstrate a high level of professionalism at all times.
  • Auditory distractions may include conversations between colleagues, phones ringing, alarms sounding, motors running, and other loud noises. Visual distractions may include movement of people, vehicles, or objects. Communication is essential, so candidate will need to have effective verbal and written communication skills. Must be able to prioritize tasks/situations and recognize when to self‑address or escalate to manager
