Job Title : JSN Coordinator (Multi-Department Support)

Reports To : Office Manager

Location : JSN Offices

Employment Type : Full-Time

Salary Range : $50K-$55K with benefits depending on experience.

In Office : Monday Thursday 8:30-4:30; Friday 8:30-2:00 (winter) / 8:30-3:00 (summer)

Position Overview

The Coordinator will provide essential administrative logistical and project support across multiple departments ensuring smooth day-to-day operations effective communication and successful execution of initiatives. This role requires exceptional organizational skills attention to detail and the ability to manage diverse priorities while supporting executives department managers and institutional partners.

The Coordinator will serve as a central point of contact for scheduling event logistics document management communications and data tracking. This individual will thrive in a fast-paced environment balancing routine tasks with special projects to advance the organizations strategic goals.

Key Responsibilities
  • Event & Program Support (CEST)
  • Maintain and update calendars of events and activities.
  • Coordinate logistics for security briefs internal meetings and events including room bookings agendas refreshments invitations and RSVP tracking.
  • Assist in preparing presentations communications and supporting documents.
  • Track event budgets draft purchase orders and coordinate with vendors.
  • Manage inventory of equipment and supplies.
  • Maintain visibility over event booking systems (EMS).
  • Coordinate a document system for the team
  • Administrative & Office Support
  • Oversee office supply and kitchen inventory; manage ordering and replenishment.
  • Support office logistics (inventories) and vendor coordination.
  • Assist with visa reconciliation in collaboration with the Office Manager.
  • Track organizational milestones such as birthdays anniversaries and acknowledgements.
  • Security Operations Centre
  • CRM & Data Management (Zoho)
  • Maintain update and administer CRM records.
  • Support form creation data entry and report generation.
  • Provide training and guidance to staff on CRM usage.
  • HR Time Sheet Review Assistance Weekly
  • Institutional Infrastructure Support
  • Liaise with Training Coordinator to connect Community Watch / Protector volunteers to institutions.
  • Support communication and coordination related to audits grants incident reports trainings drills and SOPs.
  • Assist with outreach to synagogues schools and other institutions to strengthen relationships and gather program data.
  • Coordinate Grant process in collaboration with department and Office Manager
  • Track grant information audit results and CCSP (Community Security-related) program details.
  • Grant administration payment organization in coordination with the Office Manager.
  • Provide document formatting review and design assistance for reports and communications.
  • Collect and input data from partner institutions (e.g. calendars events grant status).
  • Executive Team Support
  • Prepare data reports and metrics for board and leadership meetings.
  • Support tracking of grants tiers and funding status across institutions.
  • Provide research and administrative support to executives as needed.
Qualifications
  • 2 years of experience in an administrative coordination or program support role (nonprofit or multi-stakeholder setting preferred).
  • Strong organizational and time-management skills with the ability to handle multiple projects simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite Google Workspace and CRM platforms (Zoho experience preferred).
  • Detail-oriented with strong follow-through and problem-solving skills.
  • Ability to work independently and collaboratively across departments.
  • Comfortable interacting with community partners staff and volunteers.
  • Familiarity with the Jewish Community is an asset but not required.
