Position Summary
The Administrative Assistant will be required to perform an array of administrative duties including secretarial and receptionist duties. Responsibilities include minute‑taking, scheduling boardroom meetings, and invoicing (accounts payable/receivable). The Administrative Assistant is also accountable for assistance in accounting with record keeping for the parking lot. Other duties, relevant to the position, shall be assigned as required.

Job Duties
- Provide administrative support to all departmental members and tenants and/or those attending meetings in Main Boardroom
- Perform basic bookkeeping functions, keep records of incoming and outgoing payments, copying and filing, requesting and tracking invoices
- Assist accounting department by completing and reviewing invoices, monthly payments and mail out payments
- Review and prepare all documents, reports and other correspondence materials for the management team
- Courteously receive and screen all in‑bound calls, emails, and visitors
- Review, evaluate and distribute all incoming and outgoing mail
- Coordinate and maintain all boardroom bookings
- Take and transcribe dictation notes and meeting minutes
- Maintain a high level of confidentiality in all interactions
- Research and assist with all Requests for Proposals (RFP)
Job Duties Continued
- Maintain and monitor office supply inventory levels and place orders as required
- Maintain a professional image and demeanor with all employees, management, executives and visitors

Requirements
- Secondary School Diploma required
- Business Administration degree or diploma required
- 3‑5 years' experience as an Administrative Assistant, or relevant role, considered an asset.
- Ability to accurately type (45) words per minute (WPM)
- Proficient use of various office‑based software including Microsoft Office
