Position Summary

Administrative Assistant, Palliative Care

Your goal in this position is to act as a central component to an evolving, collaborative inter-disciplinary palliative care program with inpatient and outreach (community-based) components by providing support in the areas of reception/public relations, office management/scheduling, record keeping, and interpersonal relationships/communication with administrative, academic, public, lay and professional personnel. You have excellent interpersonal and communication skills with a calm and pleasant demeanor and patient and family centered care approach. You are able to prioritize duties and display initiative. You work well independently, but also in collaboration with inter-disciplinary team members. You have excellent organizational and problem-solving skills. You are able to handle confidential patient information in a sensitive and discreet manner. This position supports the hospital’s academic mandate by advancing care through teaching and learning and/or transforming care through research and innovation. This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and families.

Responsibilities
  • Assist in managing the office area in conjunction with the Director for Palliative Care, and the Clinical Team Manager, assist with communication and coordination of activities for the Palliative Care Team
  • Maintain the Director for Palliative Care’s appointment schedule
  • Revise and transcribe reports and articles, using fax, computer and photocopier as necessary
  • Provide support to the Palliative Outreach Team
  • Assist with other functions as indicated by program needs, e.g., schedules, organizes and co-ordinates meetings, takes minutes of business meetings, setting up equipment for presentations, booking rooms, and record keeping
  • Support and coordinate clinical, academic and educational activities of the Freeman Centre palliative care program
  • Provide support to the palliative outreach Advanced Practice Nurse and physicians
  • Coordinate the on-call physician schedule and scheduling of outreach patients
  • Utilize standard office equipment such as fax, computer, voice mail and dictation system
Qualifications
  • Postsecondary diploma, degree or certificate in Office Administration or related field required
  • Medical Office certificate; Medical terminology certificate
  • 2-3 years of administrative experience
  • Experience working with external partners preferred
  • Experience working in health care setting preferred
  • Accurate keyboarding and word processing skills – minimum speed of 55 w.p.m., Microsoft Office
  • Proficiency with medical terminology
