Position Summary

Reporting to the Manager, Accommodations Support Services; the Invigilation Assistant supports the Examination Coordinators in the facilitation of in-class and online tests, mid-terms, deferred and final examinations written by students registered with Accessible Learning (with approved accommodations). In addition, the position also offers on-call support to proctors. In the execution of this responsibility, the incumbent will maintain close communication with the Examination Coordinators.

Accountabilities

1. Assisting the Examination Coordinators with the organizing of examinations for students registered with Accessible Learning, including:

• Completing data entry, filing, and record keeping tasks.
• Performing administrative tasks related to receiving, packaging, preparing, and returning exams.
• Tracking, resolving, and reporting implementation issues to the Examination Coordinators.
• Responding to inquiries from students, instructors, and proctors related to the exam process.
• Communicating exam details to students, instructors, and proctors.
• Supporting online exams by assisting instructors in adding extra time to their timed assessments in the My Learning Space learning management system and making arrangements for virtually proctored exams.

2. Providing support for examinations that are scheduled during evening and weekend hours.

• Responding to and assisting with issues identified from proctors.
• Connecting with instructors with questions pertaining to the interpretation of examination questions.
• Supporting students and proctors with any needed comfort breaks.
• Responding to issues/concerns in the exam rooms, by phone, email or in-person.
• Supporting proctor and student compliance with exam procedures.
• Responding to suspected integrity violations, ensuring proper process is followed; gathering all needed information to support the reporting process.

3. Responding to issues pertaining to student’s needs during examinations.

• Responding to students who show up to an exam location when they have not booked the exam; assessing the situation to determine and implement the most appropriate course of action; communicating the outcomes with the Exam Coordinators for any required follow up.
• Responding to students who request accommodation changes while writing their exams.
• Responding to students who have arrived late to their exam.
• Assisting students who have gone to the wrong location.
• Implementation of crisis management student support plans during student exams. This may involve direct intervention with the student, connecting with Special Constable Service when higher level intervention is needed, and documenting events as required for follow up by the Exam Coordinators.

• Knowledge of disability issues.

Hours of Work:

This is a part-time, recurring role with layoffs in the summer (May-August). The normal hours of work will be 25 hours per week, 12-14 weeks per term.This position requires to work afternoon, evenings, and weekends to support exam schedules. Some flexibility may be required due to periods of high volume.

This role requires daily in person attendance and is not eligible for a flexible work arrangement as per Policy 8.14 (Flexible Work Policy).

Compensation:

Level: B

Rate of Pay: $31.86 to $33.68 per hour with an annual step progression on anniversary date up to$36.41 per hour.

Considerations for new hire step placements include, qualifications and length/depth of required experience, relevant market rates for similar jobs, internal equity, and estimated learning curve in starting the job.
